Tracking Code 3351 Job Description Responsibilities will include- Input capital projects into Power Plant, monitor expenditures relative to budget, process funding substitutions, and close/complete work orders in a timely manner. Create purchase orders, process invoices, and maintain capital project folders. Compose departmental memorandums, correspondence and reports utilizing WordPerfect, Outlook E-mail, Excel for spreadsheet entries and cost analysis, and other Financial Information Systems (FIS). Maintain facility records, prints, equipment manuals, and all operating data. Maintain company records and filing systems. Insure the departmental safety spreadsheet and records are maintained and updated. Interface with accounting, purchasing and customer service departments as well asoutside clients, customers and vendors. Assist in the smooth integration of acquisitions. Help in the gathering of information, analysis of data and preparation of reports. Perform quantitative and qualitative analyses, as directed, to improve the divisions performance. Arrange travel reservations and accommodations as required. Act as telephone operator/receptionist for incoming calls to division. Answer phones, provide assistance and forward messages in the absence of division personnel. Process and record all department time. Record all overtime and prepare monthly overtime analysis and reports for the Field Supervisor. Prepare monthly compliance and regulatory reports. Perform other assignments as requested by the Field Supervisor. Maintain monthly activity report of P-Card, and Departmental Purchase Order activity, assist in month end reconciliation of charges Process invoices for payment. Prepare departmental month end and quarterly reports and submit reports to Management for review. Required Skills High school diploma or equivalent is required; Associates Degree is preferred but will consider a minimum of three years of experience in a responsible administrative position. Preference will be given to candidates with a technical/engineering background. Candidate must possess excellent typing and computer skills including proficiency in word processing, spreadsheet, database and e-mail applications. Must demonstrate the ability to organize and complete multiple activities simultaneously. Candidate must be a self-starter who can operate with little or no direct supervision and have the personality, articulation (both oral and written) and characteristics necessary to communicate effectively with all levels of management, employees, regulatory agencies, government officials, customers and vendors. Required Experience The position requires two years of business education beyond high school is necessary or a high school diploma with a minimum of two years general office administration experience including superior organizational, interpersonal, communication and computer skills to ensure seamless coordination between all departments. Some knowledge of Company policies, territory and inventory control is helpful. Must be capable of learning and utilizing Lawson, Power Plant, Service Link, and Dossier Fleet Maintenance applications and be proficient in the use of computer word processing and spreadsheet applications (i.e Microsoft Office). Candidates must be familiar with use of personal computers and be proficient with Microsoft Word and Excel and comfortable with using web-based data systems. They must possess excellent verbal and written communication skills and the ability to work with personnel at all levels of the organization. Candidate must have a demonstrated ability to pick up new concepts quickly and put them into practice. Must be detail oriented and possess the ability to prioritize and multi-task in a challenging and fast paced environment.
