  • Responsibilities

    Reporting to the Director of University Events & Conference Services, the Event Manager of University Events & Conference Services will manage the execution of event requests on the DeLand campus, with specialized focus on internal university departments, student organizations and third-party requests.

    ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

    • Provide leadership and professional expertise in consultation and logistical support with an emphasis on high standards for customer relations, attention to detail, and facility use guidelines
    • Directly manage the internal and external campus calendar platform and oversight of room approvers for proper space usage and oversight of event management needs
    • Coordinate requests for event support services and prepare weekly event reports for Facilities Maintenance divisions
    • Manage support needs for internal university departments, student organizations, and third-party events through room reservations, event rentals, and floorplan renderings
    • Prepare facility use agreement contracts in collaboration with Facilities Management and track event billing for campus and vendor invoices
    • Prepare weekly schedules and event plans to communicate with campus departments such as catering, public safety, event support services, IT Support, grounds, maintenance, and custodial
    • Process and report monetary transactions and billing associated with each event
    • Identify, recruit, and train volunteers to assist with events as needed
    • Provide administrative duties and general office management support
    • Routinely work outside the normal scheduled hours of operation for university offices
    • Performs other site- and position-specific functions as assigned

    Required Skills

    • Detail-oriented and deadline-oriented with the ability to think creatively and work on multiple projects simultaneously
    • Considerable knowledge of Microsoft Office software and Adobe Illustrator
    • Excellent communication skills

    Required Experience

    • Associate degree from an accredited college or university and five (5) years of experience in responsible administrative support; or an equivalent combination of training and experience.

    Work Environment: Routinely works during the normal scheduled hours of operation for university offices with occasional support needed after hours or on weekends. Requires work in an office environment and movement between campus buildings.

    Salary Grade: 5
