    As the employment agency hiring temporary workers to be assigned to the Bill and Melinda Gates Foundation, we are responsible for direct hiring and seeking candidates for the following temporary role at the Foundation.

    The Team**
    The Global Health Agencies & Funds (GHAF) is a newly expanded team, established to manage the strategic relationships and drive the engagements with several of the foundation's key global health partners and funds: WHO, UNICEF, the Global Fund, UNITAID, and through the Islamic Development Bank Lives and Livelihoods Fund and the World Bank GFF, Anchor Trust Fund (ATF), and Financial Intermediary Fund (FIF). The team works to:

    • Drive internal alignment on foundation-wide strategic priorities, objectives, outcomes, and accountabilities with these global health institutions (GHIs) through individual institutional engagement strategies, and

    • Increase the strategic coherence across the GHIs on topics that are priorities for the wider foundation through cross-institutional strategies. Initial cross-institutional priority topics include a focus on product access, introduction, and scale (PAIS) and health systems strengthening (HSS).

    Your Role

    The Program Assistant is an integral member of the team and works with principals to prioritize scheduling needs for the team, acting as a thought partner to look at the overall needs for meeting requests and alignment with team strategic priorities. The Program Assistant provides wide and varied administrative and organizational support for the program and operations leaders and teams. Efficiency, attention to detail, flexibility, good interpersonal and problem-solving skills are essential in this role. **

    What You'll Do**

    • Manage complex calendars including meetings with participants in multiple time zones, both internal and external to the organization.

    • Proactively review upcoming weeks/months and support principals with planning, recognizing potential bottlenecks and making recommendations for how to best allocate time/make trade-offs when scheduling issues arise.

    • Schedule and plan events, such as meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing, and disseminating materials.

    • Maintain organized files and records and a system for tracking, monitoring and prioritizing tasks and projects.

    • Compile and process expense reports, reimbursement, and check requests.

    • Work on special projects as needed. May include conducting basic research and analysis of data to respond to requests.

    • Establish and manage relationships with grantees in the field as well as internal and external partners.

    Your Experience

    • Associate or bachelor's degree with 3+ years of experience, or equivalent experience preferably in an administrative role for a complex and fast-paced organization, interacting intensively with internal and external contacts.

    • Proficient with MS Office Suite including Outlook, Teams, PowerPoint, and Excel.

    • Able to find solutions that fit diverse groups with differing interests and needs by providing high-quality interactions, and clear and consistent communication.

    • Experience working in teams with diverse cultural and professional backgrounds.

    • Demonstrated ability to establish and maintain credibility and positive working relationships with staff.
