The position provides a broad range of executive administrative support to the Vice President of Diversity and Inclusion. The primary responsibilities of this role are to act as a seamless extension of the Vice President of Diversity, Equity and Inclusion by providing effective support to the entire DEI Department. In addition to the administrative tasks, this position will also manage information flow between the department at headquarters and with regional offices, prepare a variety of complex documents and reports, track program information, manage projects, and other duties as assigned. Responsibilities Executive Administration (75%) * Provide support for the VP of Diversity, Equity and Inclusion including: * General scheduling and calendar management, meeting agendas, meeting preparation and scheduling, meeting minutes, distributing background materials, and tracking follow-up tasks. * Help manage and track email and other correspondence. * Coordinate, schedule and create agendas for monthly DEI staff meetings, weekly meetings, and monthly calls in consultation with DEI Project Manager. * Prepare program information, materials and follow-up communications. * Set up meetings and office visits; assemble, synthesize, and summarize information. * Produce documents and materials and ensure timely completion of reports, briefings, and other updates. * Draft, proofread and copy edit materials and correspondence, reports, and proposals. * Create and edit PowerPoint presentations and set up presentations for organization-wide presentations. * Coordinate and synthesize monthly budget and expense reports as needed. * Make travel arrangements for VP of Diversity, Equity and Inclusion, DEI department and prepare expense reports. * Maintain DEI Staff contact list, duties list and other department information updated and published on the DEI teams intranet site. * Serve as point of contact for scheduling meetings and video/conference calls with people both internally and externally for the of VP of Diversity and Inclusion. * Assist DEI team with administrative tasks including: correspondence, mailings, and reporting as needed. * Assist the DEI team with research, event planning and logistics as needed. * Assist DEI team members with tasks and projects as needed. * Provide tracking support for department budgets and funds, such as training funds and professional services budgets. * Support management of contracts and service agreements as needed. * Other duties as assigned. Project Management (25%) * In consultation with DEI Project Manager, provide detailed project management on small to medium sized department or organization-wide projects. * Contributes to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences. Qualifications * Bachelors degree or Associates Degree with equivalent practical experience. * 2- 3 years minimum work experience necessary in an administrative capacity. * Demonstrated experience providing administrative support for senior staff and maintaining confidentiality is a must. * Experience collaborating in a team or group culture that produces collective rather than individual products is highly preferred. * In-depth proficiency with Word, Excel, PowerPoint, Outlook and Adobe Reader and Acrobat. Working knowledge of project management software. * Ability to collect and analyze data preferred. * Exemplary organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments. * Superior communication skills, including demonstrated experience writing effective correspondence, reports, proposal and other print collateral.

    • Meticulous attention to detail including excellent proofreading and copy-editing skills, as well as the management of complex information. * Professional, positive, and approachable attitude. Ability to work and communicate with a diverse group of people, including Board members, donors, the public and staff. * Ability to use discretion and diplomacy in dealing with colleagues. * Ability to organize, prioritize and manage multiple tasks, sometimes under time pressure and facing unexpected challenges, with excellent results. * Ability to take change in stride, overcome obstacles and adapt to unforeseen conditions; successful at on-the-fly adaptation when needed. * Ability to work independently without significant oversight. * Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
