    Job Description

    RESPONSIBILITIES:

    Under general supervision, the Program Coordinator supports the Director, Supervisor and Coaches. He/she manages network and department events, trainings, meetings, and special projects.  Also provides overall administrative support to the Programs Division and provides administrative support and coordination of data collection and reporting, events and trainings, internal and external meetings and other administrative supports for the Programs division as well as managing communication amongst Child360 staff.

Maintains positive relationships with all Child360 internal and external contacts through professional honest interaction.     Daily Tasks

    • Leads on coordination of the development and completion of department events, trainings, meetings, and special projects with the assistance of the Programs Division  
    • Provides logistical support for events and trainings (sending out invitations, managing RSVP list, booking location and food, managing budget, coordinating AV and computer equipment needs, preparing talking points, PowerPoint presentations and agenda, and act as day liaison)  
    • Completes data entry and transcribes interview notes  
    • Coordinates conference registration, travel and hotel accommodations for staff  
    • Manages communications, including responding to requests, answering questions, troubleshooting concerns, and communicating to appropriate individuals  
    • Creates, maintains, and analyzes spreadsheets and reports including provider contact list, information, strategies, and recommendations for Child360 departments, work groups, committees, and grants  
    • Works closely with Finance and Accounting department to identify and create AX dynamics requisitions, create and track budgets for various projects and trainings  
    • Organizes and compiles information for meetings and assists with logistics  
    • Duplicates materials, prepares letters, faxes, files, emails; scans and uploads documents into internal intranet  
    • Maintains an accurate provider contact list  
    • Recruits participants in new grant opportunities, VIP visits/tours, focus groups and surveys  
    • Maintains internal intranet and website content for Programs Division

      

    Physical Duties

    • May be expected to lift boxes up to 20 lbs.
    • May require some evenings and/or weekends

    • Other duties as assigned

    Safety Practices

    • Adheres to Child360 health and safety practices, and any unique health and safety practices for the department, building and/or County.

    KNOWLEDGE AND SKILLS REQUIREMENTS: 

    • Knowledge of business vocabulary and composition of business documents  
    • Knowledge of correct English grammar, spelling and punctuation; ability to communicate effectively, both orally and in writing  
    • Proficiency in Microsoft Word, Excel, Power Point, and Outlook Requirements / Skills:   
    • Ability to type 40 wpm  
    • Strong interpersonal skills for interfacing with staff, providers and stake holders  
    • Ability to learn and apply routine office policies and procedures  
    • Strong problem-solving and organizational skills.  Must be detail-oriented, flexible, and decisive with excellent customer service skills

      

    REQUIRED TRAVEL: None 

    FORMAL EDUCATION: Bachelor’s degree preferred, or equivalent combination of education and experience will be considered 

    LANGUAGE PROFICIENCY REQUIRED/PREFERRED: Proficient knowledge of English grammar required. Spanish proficiency a plus
