  • Responsibilities

    JOB SUMMARY

    MONDAY-FRIDAY 8AM-5PM

    Perform various responsibilities related to the reception of callers and visitors. Provide administrative support to all other departments, including Sales and Accounting functions

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Accounts and administrative Support – invoice, statement, remittance advice, Check scanning
    • Data entry onto GP10
    • Purchasing support – expediting Texas orders with vendors and recording notes in GP10
    • Banking duties - depositing checks and cash at the bank on a daily basis
    • Reception duties, including processing incoming calls, greeting visitors with a professional attitude and announcing them, and processing incoming mail (open, sort and route)
    • Daily delivery of incoming mail
    • Process outgoing mail (including invoices and checks)
    • Management and distribution of office supplies (including toner and copier paper)
    • Management of vending machine supplies (including inventory, ordering and filling machine), if necessary
    • Daily restocking of kitchen supplies (coffees, sugars, cups, etc.)
    • General administrative support to Administrative Services and other departments as needed

    May be modified from time to time. Other duties, tasks and work may be assigned.

    METRICS Project oriented goals to be met as defined by the goals set forth in the monthly/quarterly reviews.

    EDUCATION & EXPERIENCE 

    • High school diploma or equivalent, advanced degree is strongly preferred

    This is an office job and entails the physical demands associated with operating a telephone and computer (viewing monitor, keyboard, mouse)

     EMPLOYEE EVALUATION SUMMARY

    • Introductory -- Will be written at approximately 90 days after employment and will be used to determine whether employee has sufficiently met and performed the job requirements, and will indicate whether employment will continue

    • Quarterly reviews – Employee will be given a brief written quarterly review primarily focused on qualitative performance and measurement of activity

    • Annual Reviews – Employee will be given a formal regular annual review, which assesses productivity and demonstrated business skills and accomplishments for the previous period.
