    Admissions Technician Oregon Humane Society 12 reviews - Portland, OR 97211 $13.09 an hour POSITION SUMMARY The Admissions Technician is a vital member of the OHS Shelter Operations team and is responsible for providing the highest quality of care to the animals in residence at the Oregon Humane Society. Responsibilities include receiving in and handling animals for adoption, treatment or euthanasia; assisting clients with setting up appointments for intake or offering resource information for a variety of circumstances such as other agency or rescue information or medical options; set up housing and assist with screen animals in preparation for adoption; answer large volume of calls in a friendly and professional manner in regards to a multitude of issues; and additional tasks as assigned by leadership. Every staff member must contribute to a safe working environment and work as a collaborative team member. Greet and welcome visitors to the shelter, be accessible to answer questions, take initiative to guide visitors to appropriate OHS services. * Demonstrate empathy appropriate to the situation, including being joyful when adoptions occur. Treat all pets, employees, volunteers, and clients with dignity and respect on and off the premises. Thank visitors for coming to the shelter. * Provide assurance to clients by being knowledgeable, courteous and trustworthy when providing information about shelter policies, programs, and promotions. Promptly answer phones and provide accurate information to callers. Maintain knowledge of pet inventory, shelter events, adoption promotions and special needs of the shelter on a daily basis. Maintain knowledge of incoming animal procedures. * Demonstrate strong ability to regularly handle emotionally charged situations including assisting clients with surrendering pets for adoption and euthanasia. * Able to use multi-line phone while handling a large volume of various types of calls ranging from general inquires to scheduling appointments. * Gather client information and provide education regarding the adoption, surrender or redemption of a pet in a complete, accurate and professional manner. Utilize tools such as the Request for Medical Intake forms, Adoption Questionnaires, and Previous Owner Questionnaires to assist in successful re-homing of companion animals. * Reliably and accurately complete work by following up on requests, checking work for errors, completing requests on or before deadlines and assuming responsibility for successes and errors. * Enter pet and client information into shelter software programs accurately and in a timely manner. Anticipate customer needs and continually search for ways to increase customer satisfaction. * Understand how to run shelter reports as well as how to assist with implementing strategic intake guidelines and procedures to ensure the shelter is functioning at optimum capacities. * Resolve complaints and issues that may arise with the public, employees or volunteers; asking for support from leadership team when necessary. Manage emotionally charged situations with tact, empathy and respect for all parties involved. Maintain personal composure in the face of interpersonal conflict. * Collect and account for all donations/fees and complete donation receipts in an accurate and timely manner and according to established protocols. Maintain confidentiality and highest degree of integrity with respect to every financial transaction. Adhere to tracking and monitoring procedures during special adoption promotions and programs. * When appropriate, refer public to resources outside of OHS that may meet their specific needs or requests including breed rescues, other adoption agencies, and spay/neuter assistance programs. * Work daily with animals of varying species, size and temperament, handling individual animals in a safe, caring and respectful manner occasionally including deceased animals. Continuously develop a working knowledge of companion animal breeds and basic animal behavior. * Assist with screening and assessing behavior of animals in preparation for adoption. This includes vaccinations, de-wormer, and microchipping. * Assist with Second Chance program incoming transfers. * Attend staff meetings and trainings as scheduled. On daily basis, read communication log and memos. Keep current with shelter event and program updates. * Adhere to all OHS safety, training, and handling and transportation protocols in order to ensure that the Shelter environment is safe for animals, the public, volunteers and other employees. Maintain a clean and orderly work area. Restock materials regularly. * Wear required clothing, identification and safety garments/equipment as defined by OHS policies and procedures. Carry phone/radio per department policy. * Observe the health and temperament of shelters animals, document and report changes to leadership team. Perform data entry and documentation in to OHS information database in a timely, accurate and understandable manner. * Maintain a clean, safe and orderly work environment by continually cleaning up after animals and proactively monitoring animal areas for cleanliness. * Adhere to all OHS safety, training, and handling and transportation protocols in order to ensure that the Shelter environment is safe for animals, the public, volunteers and other employees. * If trained and certified, assist in performing animal euthanasia and disposal of remains in accordance with established OHS procedures * Assist as a PCET for euthanasia services and handling of DOA animals for cremation services. * Continuously improve working knowledge of animal breeds and behavior training skills.

    • Perform any other duty as request by management. WORK CONTACTS This position interacts and collaborates with a wide range of individuals within and external to the Oregon Humane Society. Communication is through face-to-face, telephone and electronic interactions. Communication must be clear, understandable, professional and respectful in all circumstances. DECISION MAKING AUTHORITY This position works under broad assignment and occasionally, specific/detailed instruction. Provides all standard quality checks and other quality related duties, and escalates issues as appropriate. WORKING CONDITIONS * Work performed concurrently in an office and animal medical center/shelter environment.
    • Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects to completion. * Occasional weekend and evening work is required. * Animal contacts and related injuries may occur. * Noise exposure in the work environment is moderate. Qualifications EDUCATION, TRAINING AND COMPETENCIES: Minimum Requirements * High school graduate or GED equivalent. * 1-3 year(s) related work experience in customer service, animal welfare, veterinary medicine, and/or other animal related work. * Excellent verbal and written communication skills. * Able to communicate with a diverse population in a consistently informative, welcoming, respectful and professional manner. * Able to maintain a professional and neat appearance at all times. * Able to solve problems in a constructive and positive manner. * Exercises sound judgment during all interactions with the public, staff and volunteers.
    • Knowledge and experience working with a wide variety of dog and cat breeds. * Basic working knowledge of computer hardware and software programs. * Able to be trained and certified in CPR and First Aid. * Able to maintain certification throughout the course of employment. * Able to work weekends, evenings and holidays as requested. * Able to be bonded, maintain a valid Oregon or Washington Drivers License and provide proof of auto insurance. Preferred * Two+ years related coursework at an accredited college or university PHYSICAL REQUIREMENTS
    • Must be able to lift, move, guide or manage an animal cart weighing up to 150 lbs. * Prolonged standing and/or stooping may occur. * Frequent bending and reaching into confined spaces. * Occasional lifting and moving of animals weighing up to 150 lbs.
