We have an exceptional opportunity for a Human Resources Administrator. This is a junior level, non-exempt role focusing on office administration, facilities, and entry level HR duties. This position will require handling sensitive and highly confidential information and documents with complete discretion. Successful candidates will demonstrate an open, affirming demeanor as they interact with employees, and represent Picarro to job candidates, outside vendors, and customers. Primary Responsibilities: -Office Administration -Manage the front desk and greet visitors and guests when required -Maintain the office by keeping supplies stocked, processing all mail deliveries, and making sure the office is tidy and running smoothly -Manage office vendors/contractors, including snacks/catering vendors -Coordinate weekly breakfast and lunches orders -Badge access -Facilities -Ensure compliance with all required OSHA postings. -Assist with safety audits/fire drills and monthly AED and fire extinguisher inspections. -Update and maintain emergency evacuation map -Managing corporate apartment, reservations, and cleaning schedule -General facilities and property management -HR administrative and clerical duties: -Maintaining and updating employee files and changes -Providing employment verifications -Coordinating Background Check process -Managing visitor applications, internal directory, organization chart, and seating chart -Assisting with executive off-site meetings -Processing Department Expense Reports -Support the staffing function, including scheduling of candidate interviews, and coordination of candidate on-site visits -Posting job descriptions on various job boards (LinkedIn, Indeed, Caljobs, etc.) -Processing approvals to hire paperwork and Personnel Action Notices (PANs) -Onboarding and entering new hire paperwork (I-9, E-Verify, payroll, & benefits) -Coordinate corporate events and celebrations, including but not limited to, weekly happy hours, monthly employee activities, birthdays, and annual company Halloween and holiday party Requirements: -Bachelors degree or equivalent; 2+ years of prior administrative or office experience in a fast-paced, startup environment -Strong organizational skills, attention to detail, and multi-tasking abilities -Experience with MS Office Suite (Mail, Calendar, Docs); advanced Excel ability preferred -Must possess a strong sense of personal integrity: able to maintain highest level of confidentiality and handle highly sensitive employee information; demonstrated good judgment and decision-making skills. -Outstanding customer service ability; friendly and upbeat personality -Strong written and verbal communication skills -Ability to work independently with little to no supervision -Flexible and willing to adapt to a changing role as our business grows Posted positions are not open to third party recruiters/agencies and unsolicited resume submissions will be considered free referrals.
