Document Control Team Member - Levelset
Job Description
_ Hybrid role working 2 days at home and 3 days at our New Orleans office @ 1121 Josephine St, New Orleans, LA 70130 from 8:30 am-5:00 pm Monday-Friday._
We’re looking for a Document Controller to join Procore’s Levelset Document Control Team . In this role, you’ll provide our customers with a five-star experience by owning all touch points of their filed documents. This includes working in multiple software systems with hundreds of unique process scenarios that require speed and accuracy. You’ll work to empower our customers to get what they’ve earned by providing a speedy and qualitative county recording process.
As a Document Controller, you’ll partner with the Lien Rights Management team to facilitate the signing, processing, and recording of Levelset customers’ liens and similar real estate documents. Use your communication, writing, and sharp focusing skills to help our customer secure their lien rights and get paid.
This position reports into Document Control & Data Management Manager and is a Hybrid role working 2 days at home and 3 days at our New Orleans office @ 1121 Josephine St, New Orleans, LA 70130 from 8:30 am-5:00 pm Monday-Friday. We’re looking for someone to join us immediately.
What you’ll do:
Process documents that need to be generated, notarized, and sent for recording
Retrieve documents sent for electronic recording and complete any necessary next steps magic fast
Process all customer documents sent through USPS mail, both in person and electronically, with a keen eye for any important details
Monitor unreturned documents and contacting US County offices to troubleshoot any potential issues
Provide WOW-worthy internal support to help our other departments needing information on document control
Manage our recorded document intake, ensuring our customers’ recorded documents are available to them as soon as possible
Ensure timely personal service of any documents that require sheriff and similar service of process
Own our in-house QC process to provide our customers with a high quality product and facilitate intended outcomes.
Process our customers’ rejected documents, finding paths to recording and making suggestions and communicating when documents cannot be resubmitted
Ensure nothing is missed or falls through the cracks when your fellow team members are out-of-office or are raising a hand for assistance in delivering Document Control’s mission and customer-centric quality standards
What we’re looking for:
1+ years of experience working with legal documents OR clerical experience OR administrative experience
Bachelor’s Degree is preferred
Highly proficient in grammar and punctuation, with strong attention to detail in written communication
Excellent communication and collaboration skills
Self-starter enthusiastic about growth with an ability to adhere to deadlines and deliverables
Adaptability and resourcefulness
Construction Industry experience is a plus
Additional Information
Base Pay Range $19/hr-$21/hr. This role is also eligible for Equity Compensation. Procore is committed to offering competitive, fair, and commensurate compensation, and has provided an estimated pay range for this role. Actual compensation will be based on a candidate’s job-related skills, experience, education or training, and location.
