    Job Description

    Our team is searching for a PROPOSAL CONTENT MANAGER to play an integral role in developing and managing content used in response to RFIs, RFPs, and other proposal materials for the construction market. The candidate will be responsible for maintaining and building on the knowledge base of proposal content to improve response quality and team efficiency, while also serving as a copywriter for new business proposals. 

    As a PROPOSAL CONTENT MANAGER,  you will be expected to work directly and effectively with cross-functional teams, including Solutions Engineering, Competitive Intelligence, Finance, Legal, Marketing, Operations, Product Development, Sales and the RFP Team to create, maintain and update proposal content. The role requires the individual to collaborate with each team to develop accurate, compelling, strategically positioned and responsive proposal content that differentiates us from competitors and clearly articulates our value proposition. 

    This position reports  to the Senior Manager, RFP Team, a group within Global Sales Acceleration. The role can be performed remotely or from one of our US or Canadian offices. We’re looking for a candidate to join our team immediately!

    WHAT YOU’LL DO: 

    • Maintain and expand a knowledge base in RFPIO proposal automation software of pre-written content to improve proposal quality and productivity of the RFP Team and other key stakeholders in the RFP response process.  

    • Content Management:  

      • Define, optimize and own the structure of RFP Team content in various repositories (RFPIO, Google Drive, Highspot).  

      • Develop processes for content maintenance activities.  

      • Review the structure of the knowledge base on a regular basis.  

      • Maintain knowledge base accessibility, data integrity and data backup.  

      • Manage, maintain and assign content owners to all content within RFPIO and Google Drive.  

      • Inform and train key stakeholders on the process for reviewing and updating content.

      • Meet monthly with the RFP Team to identify gaps and edits in existing content.  

      • Source new content through regular meetings with key subject matter experts (SMEs).

      • Schedule and direct routine content review activities with key SMEs.  

      • Capture information from SMEs and re-write it to ensure that it is clearly articulated, meets style, messaging and branding standards, and is easy to integrate into proposals.

      • Dissect RFPs to identify new or frequently asked questions, answers, or documents that need to be maintained within various repositories.

      • Work with graphic designers as required, maintaining a strong graphics knowledge base.

      • Proofread and perform writing, editorial and quality control functions.

    • Partnerships: 

      • Cultivate critical relationships with subject matter experts across the organization. including Sales, Solution Engineers, Finance, Legal, Product Development, Corporate, and Marketing.  

      • Partner with Sales and other internal departments to develop and refine proposal messaging.  

      • Ensure legal and operational compliance of all content.

      • Provide regular training to users of the knowledge base and gather feedback on a regular basis.

    • Team Initiatives:

      • Serve as internal product technology lead for RFPIO proposal automation software.

      • Contribute ideas, input, and feedback on team and company processes and initiatives.

      • Stay up-to-date with current market and industry trends to develop content and offer suggestions for proposal messaging and strategies.

      • Assist the Senior Manager, RFP Team with internal requests for registrations, vendor forms, and other ad hoc requests.

    WHAT WE’RE LOOKING FOR:

    • Required:

      • 5+ years demonstrated experience in a content management, proposal or technical sales writing role.

      • Bachelor’s Degree in Business, Journalism, English, or Marketing is required; an emphasis on writing. 

      • Thorough understanding of the construction industry and terminology.

      • Experience proofreading and editing proposal content and/or demonstrated editorial skills.

      • Strong written English skills required.

      • Familiarity and experience with the Chicago Manual of Style and AP Stylebook & Libel Manual required.

    • Preferred:

      • Experience using Procore or other Construction Management technology.

      • Knowledge and understanding of Software as a Service and Information Technology.

      • High level of proficiency with Microsoft Office, Adobe Acrobat and Google Workspace.

      • Experience in implementing multilingual and cross-border knowledge bases.

    • Other characteristics:

      • Excellent business, marketing, or technical writing skills, with a strong ability to develop tailored, compelling, and persuasive technical sales content. 

      • Broad market knowledge of proposal automation, AI tools, and database solutions.

      • Excellent project management and organizational skills.

      • Fluency in Spanish and/or French desired.

      • Strategic mindset relative to information organization.

      • Responsible, flexible, accountable and detail-oriented individual with the ability to multitask, adapt and prioritize to meet deadlines.

      • Strong listening and communication skills—both written and verbal.

      • Willing to contribute innovative ideas and lead special internal projects.

      • Strong team player with excellent interpersonal skills who values the qualities of Openness, Optimism and Ownership.

    Additional Information

    Base Pay Range $85,600-$117,700. Eligible for Equity Compensation. Procore is committed to offering competitive, fair, and commensurate compensation, and has provided an estimated pay range for this role. Actual compensation will be based on a candidate’s job-related skills, experience, education or training, and location.
