We are currently looking for a Pursuits Administrator with at least 2 years of administrative experience, preferably in Marketing to support our Marketing and Estimating Departmen t. Pay will be based on experience and ranges from $19-21/hr. Position Title: Pursuits Administrator Department: Marketing & Estimating Type of Position: Full-time FLSA Status: Non-Exempt Report Structure: Reports to the Director of Marketing and Estimating for specific project or department expectations, performance expectations, and personal development goals. This position has no direct reports. EDUCATION & EXPERIENCE: A high school degree or GED is the minimum formal education required for this position. A Bachelors degree in Business Administration, English, Communications, Journalism, Marketing, or related field is preferred. A combination of equivalent work experience and training in the field may qualifying. Two or more years work experience within office administration. Previous work experience in the design-build construction industry preferred. Computer literacy (Microsoft Office, Adobe Acrobat, Internet, etc.) required. GENERAL SUMMARY/ESSENTIAL PURPOSE: This position is responsible for assisting and supporting the Marketing Department in completing project proposals and marketing activities that promote the business development of the company through data and paperwork management, submittal assembly and delivery, and all other administrative duties. This position is also responsible for assisting and supporting the Estimating Department in completing all bidding activities for a proposal through bid support, data and document control, and other general support duties PRINCIPAL DUTIES AND RESPONSIBILITIES: 1.Maintains inventory of marketing and proposal supplies, equipment, and provides any additional administrative or hospitality needs to support the department. 2.Assists with the final submittal of all proposal documentation according to pre-established deadlines through the coordination of travel arrangements and actual delivery of bids. 3. Assists operations staff with administrative tasks during the project start-up phase, as needed. 4.Maintains, organizes, and distributes all electronic and hardcopy documents in the Marketing Library or FTP site pertaining to proposals and marketing projects, including bid calendars, meeting minutes, past performance and employee and company resume records, document templates, contact lists, evaluations, employee matrices, photos, etc 5.Sends and records responses from subcontractor invitations for proposals using SmartBidNet 6. Delivers proposals and completed bids to designated locations, as assigned. 7.Follows up, as directed, with subcontractors to ensure they are bidding on a particular proposal. 8.Updates the Admin Project To-Do List regularly for assigned project. 9.Ensures that all project amendments are noted and available to be viewed and that the Proposal Coordinator has the latest amendments containing new price and proposal form. 10.Compiles subcontractor bids (hard-copy and electronic) into the Bid Book and adds new suppliers, vendors, and subcontractors to SmartBidNet 11.Assembles, maintains, and distributes proposal and bid documentation in print and electronic-copy (CD) to appropriate team members, consultants and subcontractors 12.Performs other duties as assigned and agreed upon with supervisor Total Time = 100% WORKING CONDITIONS: Working conditions are normal for an office environment. Excellent individual performance is expected. Company goals will be realized through dedicated teamwork pursuing Company objectives. Work is primarily completed in the corporate office during normal business hours. However, flexibility in work schedule is required. PHYSICAL DEMANDS: May be required to lift up to 30 lbs. Requires basic office work, including sitting, walking, climbing stairs, kneeling, bending, and operating office equipment that is hand operated. Driving may be required must have valid drivers license for three or more years; proof of automobile liability insurance required when driving personal vehicle.
