    Job Description

    PAYROLL SPECIALIST

    REPORTS TO: Payroll Supervisor

    SHIFT/HOURS: DAY

    POSITION OVERVIEW

    A Payroll Specialist will need to have the knowledge and skills to enter and process data related to payroll, including, but not limited to, uploading data from an automated time-keeping systems, Prevailing Wages, and government reporting in an accurate and timely manner.

    TECHNICAL RESPONSIBILITIES OF THE JOB

    The essential functions and responsibilities for this position include but are not limited to the following:

     

    • Load data from Apps Freedom into SAP.
    • Compile employee time, production, and payroll data from time sheets and other records.
    • Complete, verify, and process forms and documentation for administration of benefits such as pension plans and 401k loans.
    • Compute wages and deductions, and enter data into computers.
    • Issue and record adjustments to pay related to previous errors or retroactive increases.
    • Process and issue employee paychecks and statements of earnings and deductions.
    • Maintain, review and audit wages withholding orders.
    • Provide information to employees, supervisors, outside agencies or other personnel by referring to policies, rules, regulations or procedures or by researching files for information; may refer visitors or caller to other appropriate sources of information.
    • Compute costs, adjustments, balances and reconcile figures to ensure accuracy of data.
    • Interpret complex rules/guidelines in making decisions.
    • Review edit list and correct any inconsistencies to ensure accuracy of payroll data.
    • Review and verify accuracy of payroll reimbursement pay to appropriate GL accounts.
    • Print, stuff, and sort payroll checks by Personnel Area, Cost Center and Supervisors for distribution.
    • Reconcile and Balance Payroll & FI reports weekly & monthly.
    • Generate and analyze defaulted networks and provide statistic reports to Manager.
    • Generate and reconcile other payroll related requested reports.
    • Process manual and off-cycle checks.
    • Generate and submit daily positive pay files to bank via online web access.
    • Develop and reconcile spreadsheet and reports.
    • Create and generate ad-hoc reports using SAP, Excel, and other computer software.
    • Apply and maintain prevailing wages for applicable job and appropriate employees.
    • Generate and process prevailing wages certified reports and send to appropriate General Contractors.
    • Process and submit monthly prevailing wages for apprenticeship to Training Fund.

    · Other duties as assigned by Supervisor/Manager

    · Work proficiently in Microsoft applications such as Outlook, Word, and Excel

    · Understand general payroll and/or accounting principles and record keeping functions

    · Read, write and comprehend simple instructions, short correspondence, and memos

    · Do simple math: add, subtract, multiply, and divide, using whole numbers, common fractions, percentages and decimals, with or without a calculator

    · Apply common sense understanding to carry out detailed but uninvolved written or oral instructions

    · Deal with problems involving few concrete variables in standardized situations

    TRAINING/CERTIFICATION

    · Training is SAP is desired, but not required.

    · Accounting background is desired.

    · Computer skills including intermediate proficiency in Excel and Word.

    • Construction or related knowledge. Preferred 2-3 years’ experience.
    • Intermediate mathematics to solve problems.

     

    EDUCATION

    · AA degree in accounting is desired, or the equivalent of three years of experience in a related field, such as accounting, HR, or Payroll.
