    POSITION SUMMARY

    The HR Advisor - Workforce Administration Data Management Intern will gain knowledge and experience with the Workday Human Capital Management System (HCM).  This position will rotate through gaining knowledge on all aspects of data management from guiding employee/manager through employee data direct access submissions, processing new hire transactions, reviewing job change transactions generated from the Applicant Tracking System (ATS), and employee/manager direct access submissions to ensure that all data is accurately actioned on a timely basis.

    Additionally, this role will utilize foundational and employee data to ensure organization structures and foundational hierarchies in the human capital management (HCM) system are accurate and will create, display, change, or delete data related to the foundational and organization structure in the system. This role will utilize the knowledge gained to identify process improvement recommendations that positively impacts the employee/manager experience at Bristol Myers Squibb.

    KEY RESPONSIBILITIES

    Responsibilities

    • Rotational assignment with a focus on employee data management that will integrate this role to the following positions:  HR Advisor, Employee Data Specialist and Workforce Administration Analyst

    Rotation One:

    • Provides employees and managers with guidance and support for employee data changes and workforce management inquiries, works through option and coaches through resolution
    • Provide high touch customer service that meets expected service levels and business performance goals.
    • Champion direct access processes by using change management skills to influence Managers and Employees.

    Rotation Two:

    • Maintain and/or approve all data pertaining to employee records (i.e., transfers, personal information, title changes, etc.) that are entered in Workday through Manager or Employee Direct Access.
    • Complete pending new hire transactions in Workday HCM after the candidate is in Ready to Hire status in the ATS.
    • Support execution of employee movement, employee status, payroll, benefits/leaves, Performance Check-ins, and compensation processes by maintaining accurate and on time data in Workday relevant for the above processes.
    • Support the integrity of employee records and Workday data, assuring legal and regulatory compliance.
    • Maintain supervisory organizations, organization assignments, and position titles in the Workday system.
    • Participate in the review of integration kickout reports from various systems and process updates in Workday based on the identified discrepancies.

    Rotation Three:

    • Receive customer inquiries on issues related to HCM structure and worker data, translate customer needs and applies appropriate technical solutions to reach anticipated outcomes.
    • Analyze and monitor daily the WFA team assignment group via case management system and the WD inbox, in order to understand trends in case volume and incoming transactions and to ensure these are being managed accurately and timely according to the priorities.
    • Support the integrity of employee records and ensure data accuracy for Workday, by following controlled data management and governance practices, including system audits to align with legal and regulatory compliance.
    • Oversee the maintenance of organizational structures and foundation values that enable workflow capabilities in the Workday system, including the creation / edit / removal of organizations, positions, jobs, pay groups, departments
    • Support initiation and completion of International Assignment, International Permanent Transfers, Cross-company transfers workflows

    Deliverables

    • This position will utilize the knowledge gained throughout the rotation cycles to create a presentation with recommendations on improving the overall employee data management process.  This presentation will be presented to the Capability Center Directors and Executive Director.

    The position will gain experience within a global HR Shared Services delivery model and gain a better applicable understanding of Workday, one of the most popular cloud based Human Capital Management systems (HCM).  This position will gain knowledge through a rotational assignment that will include training, support, and interactions with employees, managers, HRBPs and HR Operations.  

    Throughout the rotation, this position will focus on learning and performing each role and identifying gaps within the process.  At the completion of the rotation cycle, the intern will understand the end-to-end process and will create recommendations to better support employees, managers and HR Operations.   

    In this role, this position will learn or enhance the following:

    • General knowledge and understanding of HR policies, processes and Regional Employment Laws 
    • Practical operational experience of HR processes
    • Experience working within an HR Shared Services delivery model 
    • Knowledge of Workday HCM
    • Knowledge of ServiceNow case management system
    • Project management
    • Presentation skills
    • Working in a multi-cultural/multi-country work environment

    ADDITIONAL REQUIREMENTS:

    • Candidates must be available for an internship that will run from June 2022- May 2023
    • Candidates must be available to be able to commute to the BMS- Tampa, FL location for the year internship (Up to 40 hours per week in summer and up to 20 hours per week in fall & spring)
    • Candidates must be actively enrolled in school during the internship with a graduation date of May 2023 or later
