    Job Description

    Performance Operations is a group within the US Commercial organization that is made up of five talented teams: Brand Excellence, Field Planning & Analytics, Leadership & Development, Marketing Operations, and US Commercial Compliance. These teams drive business performance by creating efficiencies, identifying opportunities, and instilling excellence across the enterprise.     This position requires intuitive agility, detailed event planning/management abilities, collaborative leadership, and agile administrative skills.

    KEY RESPONSIBILITIES:

    Support for the Vice President of Performance Operations and selected staff members which will include:

    • Calendar management and collaboration with various departments on leader’s behalf as needed to ensure smooth operations.
    • Preparing agendas for VP Leadership meetings and coordination of significant events for Performance Operations function.
    • Leading monthly meetings and agendas for Performance Operations Admin Team, ensuring for a collaborative team culture.
    • Detailed event planning and management of onsite (primarily Lake County, but other HQ locations as well) and offsite events.
    • Compliant and timely completion of expense reports.
    • Thorough travel management via Concur Travel and Expense and related websites.
    • Creation and routing of SOWs and POs; ad-hoc budget tasks as needed.
    • Active management of email group codes/organizational charts.
    • Effective coordination of teleconference & other A/V (Teams, Zoom) needs.
    • Coordinating ew employee onboarding and welcoming.
    • Interaction with high-level executives and the handling of confidential or business-sensitive information.
    • Intermediate to advanced use of Microsoft Office Suite.
    • This role requires operation within our hybrid model (at least 3 days in office). We are only considering talent located within the following location(s): Mettawa, IL.

    Qualifications

    • High school diploma or equivalent required.
    • 3+ years of administrative assistant experience or equivalent.
    • Intermediate to advanced use of Microsoft Office Suite, especially Outlook, Microsoft Teams, PowerPoint, Word, Excel, OneNote, and OneDrive.
    • Self-starter that uses foundational knowledge and experience to grow intuitively.
    • Collaborative partner, cross-functionally team oriented, and can-do attitude towards being a proactive contributor to the organization.
    • Learns quickly and is flexible to change course quickly when needed.
    • Open to coaching and feedback from stakeholders & colleagues.
    • Professional demeanor and ability to maintain confidentiality.
