    KPMG is currently seeking an Executive Assistant for our Executive Administrative Services Center

    Responsibilities:

    • Utilize clients and markets tools for research and reporting on clients or targets; participate in account planning meetings and calls; enter and update client relationship management opportunities, contacts, activities and entities
    • Manage calendar and email activities and coordinate and schedule meetings; draft email correspondence; set up and manage video meetings and conference calls; attend and participate in business unit (BU), practice and engagement team meetings
    • Draft engagement letters, master service agreements, scope of work, member firm engagement letters and other firm documents; collaborate with Engagement Setup Administrators and Engagement Management Coordinators for initial and ongoing engagement setup and support; assist with the engagement risk management processes; upload engagement documents in firm-standard records management systems; manage and input external client billing schedules and invoices; approve invoices on behalf of partners and managing directors; coordinate client invoicing and reporting activities with other administrative support teams
    • Create and manage team SharePoint sites; onboard new engagement team members; procure technology and equipment for new team members; assist with Continuing Professional Education (CPE) tracking and mandatory training schedules; communicate with risk management for engagement codes and/or clarifying addenda; coordinate timely deliverables and graphic design support with National Design Proposal & Production Services (NDPPS); collaborate with operations for mail and supplies; arrange domestic and international travel; process time and expense reports and reconcile company credit card purchases; responsible for project work that includes creating, editing and updating presentations and spreadsheets, as required

    Qualifications:

    • Must be pursuing and have obtained by the start date or have completed the following degrees in the past 12 months: Bachelor's or Master's degree from an accredited college or university
    • Strong analytical skills and ability to understand process and procedures; ability to adapt to and support change; effective written and verbal communication - must have consistent, clear, concise and articulate communication skills; industry knowledge preferred
    • Deliver exceptional virtual administrative support and customer service in a team-based environment; must be motivated, innovative and have a proactive approach while working under minimal supervision; promote a teaming culture with common goals and responsibilities; leverage strengths, expertise and diverse perspectives to maintain a high-performing team; meticulous attention to detail and ability to maintain a high level of confidentiality is imperative along with the ability to prioritize competing requirements and/or deadlines with the capacity to work overtime, as needed; ability to multi-task and effectively support several partners and managing directors simultaneously in a fast-paced, high-pressure environment
    • Solid proficiency in Microsoft Office Suite applications, web-based research skills and ability to learn firm-wide applications and technology packages
    • U.S. Citizenship Required
