    The SCHOOL OF MUSIC invites applications for a PROGRAM COORDINATOR II to join their team. This position serves as the primary liaison for the School of Music, representing the School in a wide variety of local, state, regional, and national venues; plays a key leadership role in School of Music college-level projects and programs; and is the lead for all School communications. This work encompasses all administrative operations of the school, collaborating with other UM departments/schools/colleges.

     

    This person acts as a representative of the School of Music. Specific duties include, but are not limited to:

    •  Greeting students, parents and others either in person, via telephone, or via email
    • Providing information to potential students, parents, high school teachers and counselors, other campus programs and School/University leadership
    • Providing clerical support for the director, faculty and staff
    • Generating, formatting, and maintaining reports, and providing more complex information to internal and external customers, including students, faculty and other staff as well as the public
    • Requesting rooms for courses and special events
    • Coordinating events, workshops, projects, conferences, and social media
    • Coordinating faculty evaluation process
    • Coordinating graduate school admission process
    • Overseeing room scheduling for the School of Music and other campus and non-campus classes and events
    • Serving as liaison for building maintenance, including but not limited to, work orders with Facilities Services, maintaining key codes for coded classrooms, updating lists for Grizcard swipe entry; locker maintenance; cleaning and updating corkboards; maintaining storage and archive room
    • Preparing letters and creating documents
    • Assisting in maintaining programmatic accreditation
    • Routine website management and maintenance
    • Maintaining Music main email
    • Updating programmatic forms
    • Overseeing work study students; supporting students
    • Maintaining building security (after-hours access, keys, etc.)
    • Assisting with new student orientation
    • Ordering of promotional material and supplies for the School
    • Coordinating the advising process for the School
    • Maintaining student files and upkeep of electronic documenting files
    • Maintaining office procedural manual and student handbook

     

    Required Skills

    • Demonstrated knowledge of professional office practices and procedures; business English, spelling, composition and grammar, including the ability to write, edit and layout documents in a variety of formats suitable for the intended audience
    • Demonstrated interpersonal, public relations and communication skills including the ability to work with a diverse group of individuals at all levels in the UM organization
    • Ability to maintain and/or develop efficient processes that collect, interpret, manage, organize, assemble and maintain electronic and physical filing systems for the School of Music
    • Demonstrated skill and ability in the operation of personal computers and related word processing, spreadsheet and database software; must possess the ability to learn quickly and utilize new/proprietary software programs
    • Demonstrated skill and ability to operate standard office equipment: printers, copiers, fax machines, multi-line phone systems
    • Demonstrated organizational, time management and multi-tasking skills and ability to meet deadlines in a busy environment
    • Well-developed ability to produce timelines and meet stringent deadlines
    • Proven ability to set priorities, delegate tasks and pay close attention to detail
    • Ability to quickly familiarize oneself with university policies and procedures
    • Ability to synthesize and analyze complex information and discern trends for reporting purposes
    • Ability to multi-task, make good judgment and manage multiple projects concurrently
    • Ability to coordinate inter-departmental as well as intra-departmental operations and activities
    • Ability to take initiative, work independently and problem-solve

     

    Minimum Required Experience

    • High School diploma and two (2) years or relevant work experience or an equivalent combination of education and experience.

     

    Preferred Qualifications

    • Bachelor’s Degree
    • Experience in professional music environments
    • Knowledge of UM computer programs such as InfoGriz, UMDW, Banner, CyberBear, UM Scholarship Portal, room scheduling software
    • Working knowledge of Microsoft Office Suite

    WORK SCHEDULE:                 Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.

    SALARY:                                $16.25/HR

    UNION AFFILIATION:               FOCUS-MFPE

    PROBATIONARY PERIOD:        Six months minimum
