  • Responsibilities

    POSITION SUMMARY

    This position supports the entire team by coordinating office services, performing administrative tasks, and general office upkeep.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned.     · Courteously answer incoming lines – phone hours 8:30 am – 5:00 pm

    · Pleasantly greet and assist guests

    · Monitor and order office supplies

    · Order and clean-up office lunches on Mondays, Wednesdays, Thursdays and as needed

    · Manage kitchen supplies and food; re-stock at the end of the day

    · Keep kitchen and conference rooms clean, neat, and organized

    · Pick-up, date stamp, sort and distribute mail and newspapers

    · Troubleshoot telephone system problems; if and when they arise

    · Ensure office equipment is running properly; copier, printers, etc.

    · Make daily bank deposits utilizing check scanners

    · Code office invoices for manager approval

    · Travel arrangements, reservations and itineraries as needed

    · Request W-9 forms as needed

    · Assist accounting team with various day-to-day activities

    · Compile month-end reporting packages; binding, scanning, formatting, mailing, etc.

    · Day to day support for Managing Partner, including, but not limited to: calendar maintenance, printing hardcopies of emails and articles of interest, letter/memo preparation and correspondences

    · Special projects as requested

    SUPERVISORY RESPONSIBILITIES:

    This position has no supervisory responsibilities.

    · Must have very good verbal and written communications skills, problem solving and attention to details skills.

    EDUCATION:

    Undergraduate degree required.

    COMPUTER SKILLS:

    · Proficiency in Microsoft Word and Excel is required; working knowledge of PowerPoint is desirable.

    · Ability to learn CTI and other accounting systems.

    · Ability to learn and use other software programs as required

    REASONING ABILITY

    Must have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
