    SUMMARY

    The Service Administrator is responsible for issuing purchase order numbers to suppliers and to outside service companies, customer service, creating work orders and bill back estimates to customers, assigning and logging mobile terminals (Skybitz) to trailers, and logging information such as tires, estimates to spreadsheets.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Meets daily with Service Manager and other operations personnel to discuss any priorities that need to be made first thing in the morning.
    • Responsible for work order prep.
    • Responsible for all service calls during normal business hours.
    • Responsible for scanning all FHWA in the system.
    • Responsible for issuing purchase orders to suppliers and outside service providers.
    • Responsible for trailers checking in and out of the yard.
    • Front desk help.
    • Analyze OSP’s invoices and determine if the repairs done on the trailer were damaged by the customer.
    • Create a service and repair estimate for the damages that were done by customers.
    • Create equipment work orders for OSP invoices.
    • Update trailer specifications/ data in computer or office file.
    • Log service and repair estimates to an excel spreadsheet and email the company controller with a monthly report.
    • Assign mobile terminals (Skybitz) to trailers and log the information to the Skybitz website. www.skybitz.com.
    • Log tire-track tags to an Excel spreadsheet.
    • Close and lock all gates and garage doors at the end of the day.
    • Other duties may be assigned.

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE:

    • A High School Diploma is required.
    • 1 year experience in Trailer Maintenance.

    OTHER SKILLS AND ABILITIES:

    • Strong work ethic and a desire to succeed.
    • Excellent communication skills, both oral and written.
    • Attention to detail and highly organized.

    CERTIFICATES, LICENSES AND REGISTRATIONS:

    · Valid driver’s license issued in state of employment.

    LANGUAGE SKILLS (Bilingual – English & Spanish):

    · Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures and governmental regulations.

    · Ability to write reports, business correspondence, and procedure manuals.

    · Effectively present information and respond to questions from groups of managers, clients and the general public.

    · Communicates with a wide range of individuals from yard staff to upper management.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

    PHYSICAL DEMANDS

    Ability to lift at least lift 50lbs.
