I-9 Compliance Specialist American Eagle Outfitters 4,400 reviews - Pittsburgh, PA The I-9 Compliance Specialist a member of the HR Services team, and is responsible for ensuring that AEO maintains compliance with all regulations and requirements regarding the completion and maintenance of Form I-9, as required by the Immigration Reform & Control Act of 1986 (IRCA). This position will require working with stores, distribution center and corporate electronic Form I-9 system users, HRIS team, and vendors to ensure compliance with the Form I-9 requirements. RESPONSIBILITIES: * On a daily basis, monitor the companys electronic I-9 completions within the Guardian system, as well as through various reports and error logs, ensuring compliance for all locations. * Perform daily monitoring and management of the Guardian system dashboard for approvals, amendments, as well as re-verification of expiring documents.

• On a daily basis, monitor and process all cases that need to be submitted to E-Verify, including any follow-up with stores, distribution center and corporate partners regarding tentative non-confirmations or permanent non-confirmations in E-Verify. * Create daily call list and preemptively follow up with our stores, and HR teams at the distribution center and corporate locations to ensure critical due dates are met for I9 form completion and identify any possible issues. * Perform updates to start dates to ensure data consistency between systems. * Generate daily term reports for employees that are not in compliance with Federal I-9 guidelines and provide weekly reporting to HR, Legal and Compliance teams. * Partner with HR, HRIS and Store Operations to prepare and develop additional training tools and updates to all locations. * Become a subject matter expert on the companys electronic Form I-9 completion software, Guardian by Hyland. * Troubleshoot and investigate issues in Form I-9 completion and partner with HRIS and software provider to troubleshoot any system performance issues. * Partner with the AEO IT team to ensure that the Guardian system is functioning at an operational level and collaborate with HRIS and IT in the administration of the system. * Exhibit knowledge of the rules and requirements that pertain to the completion of Form I-9 as well as the rules and requirements of E-Verify. Stay up to date with all regulatory and policy changes affecting Form I-9 and E-Verify. * Prepare and present (monthly and quarterly) reports on overall Form I-9 completion performance by business unit using software tools and related metrics. * Manage the Guardian I9 Hotline through daily call support. * Serve as primary contact for I-9 questions and advisement. QUALIFICATIONS: * Bachelors degree in Human Resources, related field or equivalent combination of education and experience. * Two to four years of experience in a role with experience in the completion and management of Form I-9 preferred.
