    JOB DESCRIPTION

    The Procurement Operations Coordinator's primary responsibilities are to support category managers in maintaining supplier information, ensure suppliers are properly paid, and facilitate general procurement administrative activities. Other activities include providing operational support across inbound and outbound transportation, travel expense management, and reporting. This role works closely with and in support of the following teams: Category Managers, Procurement Systems, Accounts Payable, Finance, Travel, Transportation, and Suppliers.

    WHAT WILL YOU BE DOING?

    (75%)

    • Support of Procurement Processes
    • Build and engage in direct communications with internal stakeholders as well as external suppliers
    • Execute category administrative tasks, travel expense management, and systems reporting/queries
    • Vendor profile set-up and updates
    • Request and ensure timely completion of supplier risk reviews
    • Contract administration and records management
    • Stay curious to improve existing processes and bring suggested plans to provide efficiency
    • Coordinate with Procurement Systems and AP teams on purchase order, invoice discrepancies and exceptions, and payment issues
    • Resolve supplier questions and portal access issues
    • Drive Business Unit adherence to vendor processes
    • Assist in travel expense management reconciliation

    • Operational and clerical support across inbound and outbound transportation. This includes management of expense for the movement of A&F freight worldwide and completing administrative activities.
    • Submit claims for lost/damaged freight
    • Audit and resolve transportation invoices with finance & service providers
    • Non-merchandise (parcel, linehaul, air freight, vat/duty and tax)
    • Outbound (same day courier, pool/WCDC linehaul)
    • Inbound (ocean, air, inland linehaul)
    • Maintain accuracy of rates and organize folders
    • Manage and update KPI (Key Performance Indicator) metrics

    WHAT DO YOU NEED TO BRING?

    • Bachelor's degree required
    • Preferred 1-3 years in an office environment
    • Proficient skills in the Microsoft suite of products (Outlook, Teams, Word, Excel, and PowerPoint)
    • Ability to work both independently and with cross-functional teams
    • Superior customer service delivery, communicates in a highly effective, yet approachable manner; able to communicate with all levels of the business across the organization and the globe
    • Ability to execute tasks and meet critical deadlines in a thorough, poised, accurate, and prompt manner, while managing multiple competing priorities in a fast-paced and often-changing environment
    • High level of attention to detail and meticulous follow-through, coupled with the flexibility to shift requirements and expectations, due to ever-changing needs of the business
    • A collaborative approach to work; builds strong partnerships with business partners
    • Self-motivated, self-starting, and creative thinker; shows resiliency in problem-solving.
    • Ability to follow proper protocols to work with protected vendor data and maintain confidentiality

    • Prior exposure to the management of procurement process is a plus
    • Strong organizational skills
    • Strong written, listening, and verbal communication skills
    • Experience in Process Unity, PeopleSoft, Concur a plus
