    Job Description

    As a PAYROLL OPERATIONS MANAGER, this person is responsible to manage the activities of the payroll department across all US employees. Ensures compliance with all state payroll regulations, garnishment processing, overseeing and maintaining the company’s ADP Payroll Platform, tax and statistical reporting compliance for federal, state and local jurisdictions.

    This position is based in SECAUCUS, NEW JERSEY OFFICE within our PAYROLL DEPARTMENT/FINANCE and reports to our HEAD OF PAYROLL and has the following direct report of SENIOR PAYROLL LEAD.

    CORE RESPONSIBILITIES INCLUDES BUT IS NOT LIMITED TO:

    • Oversees the planning, execution, and accurate processing of the weekly and Bi-weekly payroll processes on systems, i.e. ADP and HRM systems
    • Manages the entire payroll operations team including hiring staff, providing training and support, monitoring workloads, and reassigning responsibilities as required
    • Monitors federal,, state and local taxes, employee garnishments and all other deductions to ensure accuracy of individual paychecks for the 300m annual gross
    • Ensure data integrity amongst various systems and  review that all the changes processed by the stores, districts and regions are accurately updated in ADP
    • Manages the Expat contractual agreements from the payroll and tax perspective, by partnering with outside Certified Public Accountants to monitor and update employee records to ensure all applicable expenses are correctly reflected on W2 Forms
    • Serves as 2nd tier of escalation point for all payroll related matters
    • Collaborate with Head of Payroll in producing HIP/ESOP file reporting with Sweden and outside vendor including reviewing for accuracy, contact for all data questions, uploading file, etc
    • Process funding of CA Term last pay via Wisely Card upon approval from Payroll Lead
    • Report regular status updates to the Head of Payroll regarding results of the audits and the errors detected by the controls and recommend resolutions
    • Responsible for the development and maintenance of Payroll Procedures Documentation

    WHAT YOU’LL NEED TO SUCCEED:

    • Bachelor’s Degree in Human Resources, Accounting, or Finance preferred
    • 7+ years experience in payroll administration
    • 5+ years of management experience
    • Previous experience with ADP and HRM systems, or other similar time keeping system required
    • Previous experience at large, fast pace, complex organizations (employee population 10,000+) required
    • Multi-State payroll experience required
    • Implementation experience preferred
    • CPP certification required
    • Ensures that payroll team provides excellent customer service according to H&M standards
    • Ability to lead, motivate and develop a team
    • Must be able to effectively collaborate and partner with internal and external teams
    • Detailed Knowledge of payroll tax laws
    • Ability to think and work strategically; able to plan ahead and foresee opportunities
    • Ability to work independently and be self motivated while still working within a team environment
    • Customer centric mindset, employee-focused approach to payroll administration
    • Excellent organizational skills, time management, prioritizing, and able to work with deadlines
    • Proficient in Microsoft Office and ability to adapt to Company specific systems
    • Ability to communicate verbally and in writing effectively throughout all levels of the company with discretion
