Basic Function: Under the direction of the Director HR PMO, the HR Operations Specialist will be responsible for developing new and maintaining existing HR programs and processes throughout the enterprise and ensuring compliance with all Federal, State, Provincial and local laws. Gather information from various functional areas to determine a simple, consistent approach for HR operations throughout the organization. Serves as a content specialist resource to HR partners and business unit leaders on HR programs. What will you be doing? HR Programs and Materials - 45% Maintain and expands knowledge if existing and proposed Federal, State/Provincial and Local legislation affecting human resources practices; develop simple and efficient approaches policies and procedures to drive continuous improvement in human resources administration. Maintain accurate and current direction to business units regarding employment policy and procedure to ensure compliance with Federal, State/Provincial and Local guidelines. Develop, document and implement human resources policies and processes for consistent execution and administration throughout the enterprise. Lead the Annual update and launch of Team Member Handbooks and Code of Business Ethics; work with HR and other partners to ensure content, tone, voice and execution is simple, user friendly and compliant. Ensure timely reporting to Legal for Ratification Letters and Code Disclosures. Maintain Team Member Handbooks, Human Resource Manual, SOPs, process documents and other resource tools to ensure timely and accurate HR information is available to leaders and Team Members Prepare instructions to business unit leaders and HR reps on effective implementation of Company Human Resources initiatives. Partner with Payroll, Loss Prevention, Store Operations, Training, Talent Acquisition, Legal and other functional areas of the Company in preparing direction and communication to business leaders and HR reps on cross functional programs. Build and leverage a network of HR professionals to benchmark and develop recommendations for improving the Team Member experience. Maintain current list/inventory of legally required and Company required materials; ensure all business units can access via Intranet/Portal/TASK; fulfill orders for posting materials In conjunction with the Manager-Benefits, monitor for updates on Paid Sick Leave programs; communicate to applicable locations necessary tools/postings, update manuals and polices on Intranet/Portal/TASK Manage the HR Calendar process and monthly meetings to ensure all human resources activities are captured and planned to ensure quality Team Member experience. Work closely with HR reps of each business in the enterprise to understand their needs and differences to best determine simple and consistent programs and execution Compliance Programs and Reporting 45% Maintain relationship with our I-9 vendor and ensure system and reporting operates to our standards; address daily EEV reports; serve as escalation point for I-9 questions; conduct regular audits of I-9 system access; provide regular updates of terminated Team Members to purge I-9 system; create and manage I-9 Accountability program Develop and manage Meal and Break Reporting process and execute regularly; provide reporting to Director HR PMO and Legal dept. Execute the Exhausted LOA process on a consistent basis in accordance with legal and ADAAA guidelines to ensure accurate employment records Create and manage WOTC reporting to business units; in conjunction with Director-Talent Acquisition and business leaders determine ways to improve our screening and completion rates Lead the content update of existing or creation of new Compliance modules for each Quarterly bundle; in conjunction with the Training Dept. coordinate the formal updates in the system and timely implementation and communication of materials to appropriate audience; in conjunction with the Training Dept., build and maintain record of what MU modules are legally and Company required and which populations receive at what cadence; review and update regularly as roles are added/dropped; provide reporting to Legal and HR reps as directed Administration10% Ad hoc reporting and audits as requested Recommend and implement process improvements as it relates to our processes. Process invoices, i.e. I-9 vendor and Labor Law poster vendor; and charge outs timely; follow up with vendor if not received timely Prompt follow up to requests for data from Legal and Audit team Job Requirements Job Requirements: MUST have experience working for a retailer or other multi-unit, national business 3-5 years generalist experience In depth knowledge of employment law and related legal principles SHRM PHR certification preferred Strong leadership skills, oral and written communications skills, presentation skills, and problem solving skills Working knowledge of personal computers and related software applications including Microsoft Office (Word, Excel, PowerPoint, Outlook) and HRIS systems (Oracle or PeopleSoft preferred) Learn new things quickly and proactively seek out answers to questions. Proactive and contributive; takes initiative and follows-through reliably. Accustomed to multitasking and meeting multiple tight deadlines. Ability to plan and manage projects with time constraints. Excellent organization and analytical skills. Ability to handle change and deal with ambiguity. Skilled at reprioritizing tasks based on the business needs. Educational Requirements: Bachelors Degree. Emphasis in Human Resources or related field preferred.
