    TITLE: Commercial Contracts Associate/Legal Contract Specialist

    LOCATION: San Francisco, CA 94080

    CONTEXT:

    • The person in this role is responsible for managing and processing self-service contracts in an expeditious and compliant manner for all self service contracts initiated in the Commercial Portfolio Organization (CPO), inclusive of the entire Marketing function. This full-time role was established in early 2020 with the intent of optimizing the following: business efficiency - faster turnaround of contracts (? 1 week self-service vs. 4-6 weeks of full service), allows project leads to focus on development and execution vs time-consuming tasks unrelated to their role
    • Operational excellence - dedicated resource that holds expertise in the specific project and contract types used most frequently & single point of contact between Commercial, Medical and Government Affairs (CMG) teams and Corporate Services Group (CCS) for training, process improvements, template enhancements, etc.
    • Compliance & standardization - consistent use of templates and practices, able to identify and escalate trends quickly to CCG and general reduction of risk to doing business
    • As background, self-service contracts are written on templates created and owned by CCS and are intended for lower-risk categories of work with approved vendors and therefore do not require lega/CCSl review.

    WHAT THIS PERSON IN THIS ROLE WOULD ACCOMPLISH:

    • Single Point of Contact (SPOC) for all contract-related queries (self-service and full service contracts, amendments, vendor classification, etc.) in the Commercial Portfolio Organization; triage questions to the appropriate group (i.e., CCS, Finance, etc.)
    • Advises project owners on project eligibility for self-service program
    • Processes self service requests by ensuring/performing the following:
    • Eligibility of vendor for Self Service
    • Accuracy and appropriate use of self-service template (type, terms and conditions, etc.)
    • Compliance with vendor’s Master Agreement terms
    • Start to end management of approval process in contract management tool (e.g. My Buy)
    • Ensures contract is fully and compliantly executed
    • Contributes to streamlined HCP self-service contracting process
    • Partners with CCS to ensure operational excellence and continual optimization of program
    • Conducts educational sessions to train project owners on contracting process and My Buy

    CAPABILITIES REQUIRED:

    • Works within established procedures with a moderate degree of supervision. Identifies challenges and all relevant issues in straightforward situations, assesses each using standard procedures and makes sound decisions
    • Strong written and verbal communication skills
    • Resource stewardship; uses time and resources to create the most impact; champions prudent and efficient use of company resources to ensure we are driving maximum impact with activities and operational spend
    • Business process improvement; the capability to both gain and apply knowledge of fundamental project management processes, methodologies and tools & techniques and ability to adapt them to organization.
    • Ability to prioritize and align tasks to business objectives
    • Lives and champions CMG Operating Principles

    QUALIFICATIONS:

    • Intermediate knowledge with Mac operating systems, on-line/cloud systems (e.g. Google Docs, Google Drive), and internet browsers (Internet Explorer, Chrome, Safari, etc.)
    • Demonstrate working knowledge with Microsoft Office programs (MS Word, MS Excel, etc.)
    • Bachelor degree required
    • Contract management experience preferred
    • Healthcare law/compliance experience preferred
    • Paralegal experience preferred
    • Business travel, by air or car, is occasionally required
