Provides support and performs a variety of administrative duties for Directors as assigned.Exercises considerable administrative judgment. Maintains a high degree of confidentiality. Handles a high volume of work and is comfortable with an extremely unpredictable nature of work flow.

Establishes and maintains excellent working relationships with internal and external guests.
Responsible for calendar management, arranging appointments, and conference calls. Maintains vacation calendar and master calendar of department events/meetings/etc. Plans and coordinates department functions.
Performs general administrative duties. Orders department supplies and equipment; maintains supply area. Handles photocopying, faxing.Drafts memos, forms, reports and general correspondence. Establishes, organizes and maintains an efficient file storage/retrieval system.
Prepares department check requests and expense reports, and tracks on-going expenses against budget to ensure correct accounts have been charged.Coordinates payment of invoices/bills.
Coordinates travel and hotel reservations; prepares itineraries.
Sorts and prioritizes incoming mail and email, handles distribution of reports and other outgoing correspondence. Maintains public mail boxes.
Assists with Human Resources needs as appropriate. Maintains organizational chart for the department. Coordinates/schedules for internal and external interviews.
Acts as confidential assistant in support of the Director or Manager. Demonstrates considerable judgment, thoughtfulness, creativity and initiative in these duties.Acts as liaison between management and staff.Uses informal channels and develops own networks to achieve faster work results for the team.
Conducts special projects and performs other tasks as assigned by Director.
Monitor tasks delegated by the Director to key stakeholders and ensure that the tasks are
achieved to agreed deadlines
Attend and participate in all Staff Meetings and prepare MoMs
May create or edit presentations / correspondence for review with some instruction
Expense center management
Support direct team members of the DMG
Headcount, Budget and Expense tracking ( ECM reports )
Trains new Admin Assistants and mentors less experienced
Matrix in Talent Management systems
Develop and maintain structure for inter team communications
Produce monthly management reports like key project updates and outlining Manpower
utilization
REQUIREMENTS
College Degree
5-7 years of work experience
Proficiency in Outlook, Word, Excel, Access, PowerPoint and Visio
Strong oral and written communication skills, business English, composition, spelling and grammar
Task oriented with excellent sense of priority and ability to manage multiple tasks; flexibility, independence and a high degree of initiative
Strong prioritizing, organization, problem solving and decision making skills
Ability to handle multiple tasks and balance fluctuating workload
Strong interpersonal skills with a high degree of sensitivity for confidentiality.
Develops working knowledge of division activities and interactions to understand their significance and how they fit in the organization. Ability to work with all levels throughout the Corporation
Team-oriented approach with experience training, leading and mentoring other individuals
Current performance level at excellent or outstanding
