Experience : 0 Description : The Archives Coordinator supports the work of the Assistant Archivist in maintaining the historical documents that describe the legacy of Tiffany and Co. S/he is responsible for managing the Archives' digital asset management system and helping maintain the Archives' paper collection. The Archives Coordinator also provides essential administrative and research support to the Assistant Archivist, such as tracking research requests, monitoring visiting researchers, and updating the departmental website. The Archives Coordinator will coordinate all asset uploads, metadata creation, and keyword tagging on the digital asset management system, Vista. S/he will ensure that employees in other departments have access to Vista and provide assistance with its use as necessary. This person will act as Archives department liaison to IT partners responsible for technical support of Vista and also assist the Assistant Archivist in developing new capabilities and content for Vista. This individual will conduct external research by coordinating responses to external inquiries received electronically or via phone and mail. This includes processing requests and payment for commissioned research as well as aiding in responding to requests from scholars, book authors, journalists, and curators. S/he will also conduct internal research by assisting in fulfilling requests for information from employees of the company. This includes answering emails and phone calls, photocopying and scanning, and interoffice mailing information. The Archives Coordinator will also complete image requests, by responding to requests for images of objects and other visual materials in the collection from both employees and external customers, including processing paper work and scanning. This individual will produce research reports for both external and internal customers. The Archives Coordinator will file and rehouse recently acquired or backlogged collection material as well as provide basic processing support, including the creation of inventories and shelf lists. S/he will need to perform basic conservation, including cleaning and encapsulating documents as well as help maintain the Archives' physical and digital subject filing system and its researcher filing system. S/he will coordinate visits by internal and external researchers, including logistics for the visit, sending the appropriate pre-visit forms, filing paperwork, retrieving and shelving material and providing any necessary follow-up information (photocopying, referrals, and scheduling additional visits). The Archives Coordinator will also maintain the internal departmental website, including posting updates and developing new content. This individual will assist the Assistant Archivist with the technical supplies inventory by ordering supplies as necessary and updating the technical supplies budget, and also coordinate use of the Archives' storage area by organizing unprocessed collections. Required Qualifications: + Bachelor's degree in Art History or American History. + 1-2 years of relevant work experience, ideally in an archive, auction house, estate jewelry dealer, antique dealer, or similar environment. + Ability to be flexible and multitask in a fast-paced environment. + Ability to work effectively in a small team setting. + Knowledge of Microsoft Office programs, including Word, PowerPoint, and Excel.
