    Job Description

    General Summary: Under limited supervision, provides a variety of administrative support to the Safety/Medical Compliance subsection in the areas of compliance, report preparation, workflow administration, substance abuse testing, recordkeeping, and problem resolution, and acts as a liaison between management, other organizational units, and external contractors. Essential Duties and Responsibilities: * Develops and maintains a variety of spreadsheets and databases. Enters data of a sensitive nature. Ensures that employee personal and logistical information is current. Tracks trends, eligibility for rehire, records retention requirements, etc. Generates reports. * Coordinates the employee physicals, inoculations, and fitness for duty evaluation processes. Monitors the completion of physical examinations. Maintains database for tracking employee qualifications and medical information. Process authorization forms for employees on a walk-in and appointment basis. Monitor employee anniversary for DOT physical requirements, prepares forms, sends employee to clinic, report results to employee management. Reviews medical examiner's orders for completeness and consistency. Monitors services provided by reviewing documentation submitted from occupational health services providers for consistency, seeking clarification as necessary. Tracks, matches, and checks documentation for accuracy and completeness. Reviews applicants' offer letters for consistency. Reports inconsistencies in medical information, errors in the hiring process, and disqualifications to section manager. * Coordinates logistical needs for all subset training classes. Prepares training materials and packets, audiovisual requirements, records employee participation, creates certificates upon participant completion, reports test scores, and tracks test trends and employee requirements for refresher training. * Assists with the administration of the substance abuse program. Assists management officials with random/follow-up testing workflow issues. Tracks activities such as post-accident testing window, testing turnaround, and errors & omissions by DART staff and service providers. Follows up on services provided. Prepares correspondence and transmittals to collection vendor. * Maintains and scans confidential and administrative records and reports. * Performs other related duties as assigned. Minimum Knowledge, Skills, and Abilities Required: Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications. * Associates Degree from an accredited college or university in Business Administration or a related field. * Two (2) years of administrative experience including coordinating projects in the area of human resources, substance abuse, health care, or other related areas. Extensive technical experience in developing and maintaining spreadsheets and databases. Working knowledge of federal drug and alcohol regulations. * Pass a physical (medical) examination that includes a drug screen in order to operate DART non-revenue vehicles. * Proficiency of PC software applications to include Microsoft Office or other related software applications * Excellent written and verbal communication skills. * Interpersonal skills to effectively communicate with all levels of supervisory and nonsupervisory employees, services providers, and others both inside and outside of DART.
