We are seeking qualified candidates for a full-time Administrative Coordinator/Invoicing Specialist position located in our Livermore, CA branch office. Qualified candidates will be detail-oriented, accurate, reliable, able to work independently, and thrive in a fast-paced, growing organization. Position Overview: This is a full-time, entry-level position. Salary: TBD based on experience. Required hours: 8:00am to 5:00pm M/Fri. Position reports directly to the Operations Manager. Jillamy observes a business-casual dress code. Non-smoking office. Responsibilities/Tasks: * Provides support in gathering, maintaining, and sorting through all documentation requirements by customer request. * Create and send out invoices on a daily basis to obtain payment. * Provides support in answering and correctly routing incoming phone calls. * Verify carrier rates with factoring companies. * Maintains rapport with customers, managers, and employees by revising and updating contacts; researching and developing new services and methods; setting priorities; resolving problem situations. * Resolve administrative problems by analyzing information; identifying and communicating solutions. * Maintain accurate records and spreadsheets that are updated in real-time. * Assist with departmental projects. * Perform various other administrative duties, as assigned by management. Qualifications & Preferred Skills: * High School diploma or equivalent. Relevant higher education course work preferred. * 3+ years billing, invoicing and reporting skills/experience required. * Strong analytical skills and sharp attention to detail; including accurate data- and numbers-entry skills. * Ability to organize/prioritize work in order to productively and efficiently meet deadlines. * Professional presence with the ability to diffuse difficult situations, and problem-solve effective solutions. * Excellent verbal/written communication skills, with solid customer service experience. * Keen interpersonal skills; and the ability to work effectively within a team environment. * Must have working experience with Microsoft Office focusing on Excel and Windows-OS [Word, email]. * Ability to type 30-35 wpm with an emphasis on accuracy. 10-Key experience strongly preferred. * Experience with standard office equipment [phone, fax machine, copier].
