The Department of System-Wide Accessibility (SWA) is seeking an SWA Project Administrator/EA to provide support to all key departmental operations. This will include a diverse set of critical functions such as assisting in the scheduling and routing of the Department's undercover monitors, performing site visits to verify that accessibility upgrades have been completed appropriately, logging and tracking of departmental assignments, administrative support to the Assistant General Manager, etc. The SWA Project Administrator/ EA will serve to bring efficiency to this mission driven team while being involved in a wide array of department/agency initiatives and opportunities. The Department of System-Wide Accessibility (SWA) is seeking an SWA Project Administrator/EA to provide support to all key departmental operations. This will include a diverse set of critical functions such as assisting in the scheduling and routing of the Department's undercover monitors, performing site visits to verify that accessibility upgrades have been completed appropriately, logging and tracking of departmental assignments, administrative support to the Assistant General Manager, etc. The SWA Project Administrator/ EA will serve to bring efficiency to this mission driven team while being involved in a wide array of department/agency initiatives and opportunities. Duties & Responsibilities Support in managing AGM's correspondence and calendar Oversee daily operation of office, track status on ongoing matters and follow up as required. Evaluate workflow and reallocate resources or redesign processes to meet office needs and customer service. Coordinate and maintain department budget to include monitoring, tracking expenditures, troubleshooting problems, and preparing reports and manage invoices. Manage HR time and attendance, team meetings and projects and communications. Oversee purchase of all office supplies and professional services Log and track incoming departmental assignments to ensure timely completion Assist in implementing internal access monitoring program--including develop weekly routing and schedules for monitors Assist in conducting site visits in order to access compliance with accessibility standards Assist in reviewing and tracking documentation related to customer complaints Ensuring all print and web-based marketing material is accurate and up to date Assist staff in drafting reports, presentations and trainings to be delivered to all levels of agency Coordinate public and internal meetings Represent Department at meetings within and outside the MBTA Respond to each inquiry, whether from a customer, vendor or co-worker in a courteous and professional manner consistent with the Authority's Customer Service quality standard Uphold the rights and interests of the Authority while building and maintaining an effective relationship with employees Assist in the management of a workforce by ensuring the fair and consistent application and strict adherence to the rules, regulations, collective bargaining agreement (if applicable) and policies of the Authority including the EEO, Anti- Discrimination and Anti-Harassment and Anti-Retaliation policies. Perform related duties and projects as assigned. Minimum Requirements/Qualifications Bachelor's degree from an accredited institution. 2 years experience providing operational support within an administrative setting Demonstrated ability to compile information and data into written and graphic presentations, experience proof reading memos and reports, attention to detail to ensure accuracy. Experience in a fast-paced environment with competing priorities, managing projects as assigned and comfortable with managing changing schedules/agenda professionally. Ability to multitask and managing competing priorities using independent judgement. Ability to interact and build rapport at all levels of the organization. Effective organizational, analytical, confidentiality, quantitative, writing, multi-tasking and time management skills. Proficient with the use of MS Office, PowerPoint and Graphic applications. Ability to pass a Criminal Offender Record Information (CORI) check, background screening, and the MBTA's medical requirements. Have a satisfactory work record for the two (2) years immediately prior to the closing date of this posting, including overall employment, job performance, discipline, and safety records (infractions and/or offenses occurring after the closing of the posting and before the filling of a vacancy may preclude a candidate from consideration for selection).
