The Executive Administrative Assistant position is necessary to provide high-level administrative support to the Bureau of Systems Management (BSM). This position will be responsible for coordinating meetings with internal and external stakeholders, developing agendas, taking minutes, developing presentations, coordinating and ensuring document version control, and managing calendars for the BSM Director and Deputy Director. You will work with the Medicaid Enterprise Systems (MES) project team to schedule project meetings and track the status of project deliverables. The incumbent will also work with MES suppliers and DMS Communications to ensure the BSM intranet site is updated frequently with MES project statuses and operations data. You will maintain the BSM SharePoint, BSM WorkWeb, and BSM Teams sites.
Responsibilities:
- Complex calendar management & power scheduling which includes understanding high-level priorities among meeting stakeholders and coordinating schedules/ managing expectations among multiple discrete bureaus, departments, vendors, and external clients
- Support 2 Directors in an Executive Assistant role
- Support 50+ staff and contractors
- Collaborate cross-functionally with IT, HR, Management, Sr. Management, and staff at all levels to ensure processes are accurately followed and thoroughly completed
- Partner with the greater administrative team of EAs and AAs/OPAs
Working hours: 8:00 AM - 5:00 PM

Bachelors
Experience:
1-4 years
Qualifications:
- Bachelors degree required
- Understanding of and experience supporting full lifecycle recruiting, onboarding, and offboarding processes
- Intermediate SharePoint Administrator experience or ability to learn
- Basic Drupal Administrator experience
- Basic MS Teams channel admin experience
- Exposure to Salesforce, Jira, and other project management methodologies and systems
- Tech-savvy including the ability to learn new systems and processes quickly and act as a go-to person to accomplish tasks and train others
- Detail and action-oriented including the ability to complete complicated forms and parse milestones out of deep processes
