JOB SUMMARY

     The main purpose of this position is to provide clerical support to the Construction/Facilities maintenance Department.  Responsible for maintenance of files for Certificates of Insurance on Construction/Maintenance vendors.  Maintenance of utility expense spreadsheet for budget.  Filing, copying, and typing of assorted documentation.  Answer phones, set appointments, and greet guests.  Process invoices for repetitive custodial maintenance.

ESSENTIAL JOB FUNCTIONS

     The job functions listed below represent the essential job duties and responsibilities of the above-listed position.

    •  Answer phones, take messages, set appointments, sort mail and greet guests.

    •  Process invoices for payment for repetitive custodial maintenance, PO's, verify w/contract, enter into PO system, code for payment, communicate with accounts payable.

    •  Type necessary documents, mail correspondence, fax.

    •  Maintain files for Certificates of Insurance on construction/maintenance vendors.

    •  Maintain permanent files and invoice files, maintain spreadsheets of vendors.

    •  Maintain spreadsheet and files of utility expenses for budget.

    •  Perform other duties as assigned by supervisory personnel.

Qualifications

EDUCATION AND EXPERIENCE

    •  High School diploma or equivalent

    •  Previous accounts payable and invoicing experience preferred.
