As a dispatcher, you will be responsible for efficiently managing incoming requests, coordinating schedules, and dispatching appropriate personnel to various locations or tasks. Your primary objective will be to ensure prompt response times, optimize routes, and maintain effective communication channels to enhance operational efficiency.
Key Responsibilities:
Receive and Prioritize Requests: Receive incoming service requests, emergency calls, or work orders via phone, email, or computer systems. Prioritize requests based on urgency, location, and available resources.
Dispatch Personnel: Assign tasks or dispatch field personnel, drivers, or service technicians to specific locations or assignments. Coordinate multiple assignments simultaneously, ensuring optimal use of resources and timely response to customer needs.
Route Optimization: Utilize mapping software or GPS systems to optimize routes and minimize travel time for field personnel. Consider factors such as traffic conditions, distance, and service priorities to determine the most efficient routes.
Maintain Communication: Establish and maintain clear communication channels with field personnel, drivers, and other relevant parties. Provide updates on assignment details, changes in schedules, or unexpected delays to ensure everyone remains informed and prepared.
Record Keeping: Maintain accurate records of all service requests, dispatch activities, and communications. Input relevant data into computer systems or databases, including customer information, service logs, and job statuses.
Problem Solving: Address any issues or challenges that arise during dispatch operations. Resolve conflicts, handle emergency situations, and make quick decisions to ensure smooth workflow and customer satisfaction.
Customer Service: Interact with customers, clients, or stakeholders to gather information, provide updates on service status, and address any concerns or inquiries promptly and professionally.
Collaboration: Collaborate with other departments, such as operations, logistics, or maintenance, to streamline processes, improve efficiency, and optimize resource allocation.
QUALIFICATIONS
· Ability to learn and use Service Titan Software (PREFERRED, BUT NOT REQUIRED)
· Professional appearance and personality
· Experience in scheduling and customer service
· Ability to multitask in a fast-paced office setting
· Team player who can work independently
· Ability to work occasional nights, weekends and/or holidays
· Pass a background check and drug testing.
· Exceptional 5-star customer service and leadership skills
· Critical thinking and problem solving
· Detail oriented with strong organizational skills
