What is an HR Coordinator and Administrator?
As an integral member of the HR team, and reporting to the HR Manager, the HR Coordinator assists with various tasks such as: recruitment, onboarding, HRIS updates, benefit and compliance audits, and off-boarding. The HR Coordinator works closely with the HR team.
Essential Results
ADMINISTRATION
- Payroll: Supports processing.
- Recruitment: Conducts phone screens, monitors applicants and schedules interviews. Partners with hiring managers to understand ongoing hiring needs.
- Staffing: Initiates onboarding for all new hires including required paperwork and verifications, background checks and language assessments.
- Onboarding: Coordinators orientation, works with IT to initiate setup for new hires; Enters new information into ADP.
- Benefits: Ensures new hires and all employees are enrolled in benefits if elected, and monitors enrollment.
- Terms: Processes terminations and works with IT to turn off accounts.
- Regularly updates employee records and change of status.
VERIFICATIONS AND AUDITS
- Verifies, reconciles and processes items such as employment verification, Unemployment claims, garnishments and 403b requests.
- Reconciles vendor invoicing with finance and payroll. (Benefit invoices. Ensure deductions are up to date and reconciled with the special circumstances list)
- Regularly audits stipends, compliance items, policies for accuracy and completeness.
DATA ENTRY AND REPORTING
- Responsible for the online employee files and records.
- Runs various ADP reports.
PARTICIPATES AND COORDINATES SPECIAL PROJECTS AS NEEDED
- Streamlines all employee files into the online repository.
- Automates manual processes.
- Assists with general employee related questions and needs.
Qualifications
- Associate's degree preferred; or combination of education and relatable experience
- Minimum of 2 years work experience
- Analytical
- High tolerance of ambiguity
- Thrives in a fast-paced environment
- Demonstrated excellent communication skills
- Eager to learn
- Proficient in various tools and systems such as ADP, Microsoft Office 365

Status: Non-Exempt, Full-Time
Department: Admin & Finance
Reports To: HR Manager
Work Schedule: Typical schedule is 8:00 a.m. 5:00 p.m. Monday through Friday. However, flexibility is required due to nature of business. Schedule may be changed as needed, to include weekends and holidays. REQUIRED TO BE RESPONSIVE AND AVAILABLE FOR SHIFTS FOR AS MUCH AS 12 HOURS IN LENGTH DURING DECLARED EMERGENCIES TO PERFORM DUTIES AS DIRECTED BY THE EMERGENCY MANAGER.
