Job Summary:
We are seeking a dedicated and detail-oriented A/P and Finance Adminstrative Assistant to join the Henry Morrison Flager Museum. The ideal candidate will have a background in accounts payable, general accounting, and finance administration. This role is ideal for a detail-oriented professional with a strong grasp of financial principles and nonprofit accounting.
Key Responsibilities:
- Assist in managing accounts payable, ensuring accurate and timely processing. Facilitates payment of vendors, which may include verification of federal ID numbers, review vendor payments and purchase orders, and resolving discrepancies.
- Maintain financial records and reconcile accounts, supporting month-end and year-end close processes.
- Records entry of, verifies documentation for, and distributes petty cash.
- Calculates and reports sales tax.
- Other related duties as assigned.
- Work with accounting software (Financial Edge or QuickBooks) to maintain financial accuracy.
- Coordinate with departments to manage weekly submission of all vendor invoices, various expense reporting.
- Assist in audits, preparing documents as requested, ensuring accurate and complete documentation, and compliance with IRS nonprofit guidelines.
- Maintain confidentiality in handling sensitive financial information.
Qualifications:
- Associate or bachelor’s degree in accounting, Finance, or Business Administration.
- 1-3 years of experience in nonprofit financial management or bookkeeping.
- Proficiency in accounting software such as Financial Edge, QuickBooks, or other nonprofit financial systems.
- Strong analytical and organizational skills, with attention to detail.
- Familiarity with nonprofit compliance standards and IRS regulations.
- Ability to collaborate effectively within a team environment.
Preferred Skills:
Experience with donor management systems (e.g., Raiser’s Edge).
Knowledge nonprofit finance and processes.
