Job Summary
We are seeking a motivated and outgoing Administrative Assistant to act as a Family Liaison to join our team. In this role, you will provide support to staff, ensuring they have all the information and resources they need to perform their best to include inputting schedules, coordinating assessments with clinical team, gathering and supporting other administrative tasks as necessary. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills in English and Spanish (required) and a friendly demeanor to support clinical staff and families.
Responsibilities
Answer incoming phone calls and route them to the appropriate person from call center when escalated
Schedule appointments and maintain a calendar for Executive Team
Organize meetings and take accurate minutes
Write emails, memos, and letters and distribute them appropriately
Contribute to company reports by ensuring all reports are completed before end of authorization
Maintain an organized filing system for clients and staff
Develop, update, and maintain relevant office procedures as directed by Executive Team
Qualifications
High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Administrative Assistant or in a similar position
Previous experience as ABA Coordinator or ABA Scheduler
Familiarity with standard office equipment such as printers and fax machines
Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
Highly organized with excellent time management skills and the ability to prioritize projects
