ADMIN ASSISTANT
The pay rate is $24.78/hr and the location is in Long Beach, CA.
Duties and Responsibilities:
- Performs project administration tasks relating to, but not limited to:
- Timekeeping, Payroll.
- Staff personnel actions such as benefit changes, employment status, personal information, etc.
- Serves as the initial contact and liaison for intake and assessment of employee complaints.
- Conducts initial interviews and gathers information for employee relations matters such as harassment allegations, work complaints, or other concerns; informs appropriate HR staff when additional investigation is required.
- Perform and document investigations, seek legal counsel when applicable, make recommendations to management team.
- Provides advice and counsel to managers and supervisors regarding personnel practices, policy and employment laws.
- Prepares and presents required and special reports related to employee relations.
- Accounting functions for contract billing.
- Maintaining current organization staffing charts by the site.
- Screening telephone calls and visitor contact with management.
- Screening and answering correspondence for management, which requires independent judgment and discretion.
- Performing specialized administrative tasks such as providing assistance with preparing contract reports.
- Establishing task priorities and maintaining an effective work schedule.
- Preparing administrative correspondence and reports as required.
- Assisting in financial analysis.
- Assisting or preparing management and government reports.
- Auditing various documents to identify and report discrepancies.
- Ensuring appropriate provider registration in the Central Bill Processing System and assist as necessary.
- Ensuring timely submission of all task deliverables.
- Other duties as assigned.
Qualifications:
- High School Diploma or equivalent.
- Minimum of 1 year experience in administrative personnel role.
- Available to work full-time hours with multiple shifts, including holidays and weekends, and on-call.
- Demonstrated experience in Human Resources and employee relations matters
- Must have the ability to resolve unforeseen problems with little or no direction from the manager.
- Excellent presentation skills as well as oral and written communication skills.
- Proficiency with computers, common office equipment, and MS Office™ products.
- Highly proficient in Microsoft Excel.
- Must be able to multi-task, be detail-oriented, be organized, and have excellent verbal and written communication skills.
- Ability to remain calm and composed under stress.
- Must be adaptable to a changing work environment.

Physical Requirements:
- Work is typically performed in a typical interior/office environment.
- Work involves sitting and standing for prolonged periods of time.
- May require bending, stooping, and lifting up to 15 lbs.
- Able to withstand changing environmental conditions with the weather (rain, heat, lightning, and winds).
- Able to withstand and manipulate through construction areas, sports fields, etc.
