    Job Description

    JOB DESCRIPTION AND RESPONSIBILITIES: The Operations Associate is a full-time position reporting to the Deputy Director of Operations. The perfect candidate is an administrative professional who is responsive, detail-oriented, and enjoys providing backup and support to busy program staff.

    Note: this position will be mostly remote through June 2021, though some in-person work may be required, such as bank deposits or office tasks. The applicant must reside in or near Washington, D.C. in order to be able to perform these functions for a location-based advocacy organization.

    SPECIFIC DUTIES AND RESPONSIBILITIES INCLUDE:

    GENERAL DUTIES

    ·       Support all administrative aspects of a 15-person office under the direction of the Deputy Director of Operations.

    ·       Serve as first point-of-contact in the office with the general public and membership: staffing the front office; answering phones; responding to general inquiries, and requests for legal assistance.

    ·       Perform office duties (both remotely and, eventually, in the office), including managing the mail, maintaining office supply inventories, copying, and filing.

    ·       While working remotely, manage office functions using remote procedures, including scanning documents, periodic trips to the office and bank to make deposits or run other errands.

    ·       Maintain, update, and secure hard copy and electronic filing systems and implement efficient and effective filing procedures observing all confidentiality restrictions.

    ·       Manage and troubleshoot office systems, including telephone, voicemail, and information technology.

    ·       Assist with setting and enforcing office management and organization operation policies in conjunction with organization leadership.

    ·       Contact and interface with vendors, customer service, and contractors as necessary.

    ·       Monitor and oversee maintenance of office equipment.

    FINANCE

    ·       Collect revenue items, document revenue, and make bank deposits.

    ·       Perform bookkeeping procedures in compliance with legal and organization policies.

    ·       Perform monthly and quarterly financial reporting.

    ·       Work accounting consultant to ensure compliance in accounting procedures.

    DEVELOPMENT

    ·       Assist the Development dept. with data entry, financial reporting, and assistance with donor events.

    ·       Enter gift revenue data and manage acknowledgements to donors.

    ·       Conduct monthly and annual reconciliation of contributions.

    LEGAL

    ·       Collaborate with Legal staff to meet operational needs, including conducting legal intakes and assisting with document production or court submissions.

    IN ADDITION, THIS POSITION WILL WORK WITH STAFF TO:

    ·       Schedule and coordinate meetings, appointments, and travel arrangements for staff.

    ·       Assist with preparing agendas and supplemental materials and supplies for meetings, including Board meetings.

    ·       Contribute to a positive and welcoming workplace atmosphere.

    ·       Strong commitment to and understanding of the mission of the ACLU-DC.

    ·       Work experience that demonstrates professionalism, discretion, an ability to take initiative to resolve problems, and to exercise good judgment in stressful circumstances.

    ·       Exceptional interpersonal skills, attention to detail, and strong work  ethic required.

    ·       Good team player. Maintains professional and collegial working relationship with all staff and outside contractors.

    ·       Willingness to take on new responsibilities and learn new skills.

    ·       Demonstrated computer literacy, including demonstrated ability to quickly learn and utilize online applications or portals.

    ·       Familiarity and experience with basic office software, including Microsoft Office applications. 

    ·       Commitment to and understanding of diversity; a personal approach that values the individual and respects differences of race, ethnicity, age, gender identity/expression, sexual orientation, religion, ability and socio-economic circumstance.

    ·       Bookkeeping experience and knowledge of accounting software preferred but not required.

     

    Additional Information

    Salary based on market factors and individual experience and abilities. The current range is $62,000 to 72,000 depending on experience and qualifications.
