The Business Operations and Administration Support position for the Resource Management (RMZ) G8 Directorate Administration. ABILITY TO WORK IN A FAST PACED ENVIRONMENT AND CHANGE TASKS QUICKLY IS A MUST. Personnel will provide support to include critical and essential operational support for Strategic Readiness, liaison between the States/territories and the Army National Guard Directorate, and promote organizational improvements, policy, procedures and continuous learning. consisting of writing, and revisions of numerous ARNG correspondence. Association with senior leaders, and general staff of the G8 Directorate is a key requirement and requires a significant degree of professionalism as well as senior level writing, editing and correspondence.
ESSENTIAL JOB FUNCTIONS
Identify any new taskers assigned to the RMZ queue in Joint Application Staff Management System (JASMS), disseminate the taskers to the assigned POC’s within the RMZ Directorate, monitor the progress of open existing taskers by; coordinating with the assigned POC’s and providing a status report to the DARNG’s XO, prepare correspondence required to complete taskers, upload/download documents within JASMS required to support these taskers.
Prepare incoming and outgoing memos and correspondence, prepare all correspondence free of grammatical errors/typos and follow the ARNG staffing process and be responsible for dissemination of the prepared correspondence to assigned recipients. Review draft rewrites to the action officer (AO) or Office of Primary Responsibility (OPR) for specified tasks.
Input and process RMZ travel requests, utilizing the Defense Travel System (DTS); build tentative trip itineraries in DTS and present to government traveler for review and acceptance; track all travel conducted by RMZ personnel and review to ensure travel is in accordance with the Joint Federal Travel Regulation (JFTR); review completed travel vouchers, verify their accuracy, ensure all required attachments are accounted for and present to government POC for final review and approval.
Review RMZ personnel calendars with Executive Officer (XO) daily to address any scheduling conflicts and organize scheduled meetings.
Print and post daily calendars for RMZ personnel; coordinate meeting times and locations between the RMZ personnel and meeting attendees; prepare correspondence required to conduct the meetings in accordance with (IAW) ARNG 25-50. The contactor shall provide the prepared materials, to all attendees, pertaining to these scheduled activities.
Schedule and coordinate the usage of conference rooms located at AHS in support of scheduled meeting for the G8 Directorate; schedule and coordinate required video teleconferences (VTC’s) for RMZ personnel.
Receive and record incoming tasks for Officer Evaluation Reports (OER’s) and Non- Commissioned Officer Evaluation Reports (NCOER’s) sent to the G8 Directorate for review and signature; present OER’s and NCOER’s to the designated RMZ personnel and obtain the necessary reviews and signatures; coordinate and distribute the signed OER’s and NCOER’s back to the original requestors.
Receive and process Human Capital Management (HCM) personnel assignment packets that require RMZ review and signature; track statuses of received HCM personnel packets; present the list of open HCM personnel packets to the XO for action; coordinate and distribute completed HCM personnel assignment packets back to the original requestors.
Receive and in process visitors such as Senior Officials, General Officers, Senior Executive Staff (SES’s) and ARNG personnel; identify the need or request of visitors and disseminate it to the appropriate POC for action; provide escort/liaise service between RMZ personnel and various government personnel.
Receive requests for awards and decorations and review to monitor if they are correctly documented on a DA Form 638. The contractor will compile and track the list of award requests; disseminate the award/decoration requests, to the assigned reviewer/approver within RMZ via Army Knowledge Online (AKO) forms; route the approved and signed DA Form 638 back to the initiating action officer for certificate printing; receive the printed awards and decorations; submit to the Command Group for final signature then coordinate for the initiating office to pick up.
Account for and maintain the G8 Directorate master copy of Standards of Operations; prepare, edit and maintain personnel rosters; prepare and assemble RMZ briefing packets for scheduled meetings and events; retain and account for historical copies of RMZ documents required by organizational SOP and regulation; compile a monthly supply request list and submit requests to the supply sergeant. The contractor shall coordinate the receipt and dissemination of received supplies.
