  • Responsibilities

    Job Description

    The General Clerk II shall provide administrative services for the Recruiter Support Services contract. In this role the General Clerk II shall:

    • Review and become familiar with the USAREC correspondence guide. Documents will be prepared (typed, edited, and formatted) in accordance with applicable guidelines.
    • Use available IT to schedule meetings, conference calls, Web-based meetings, and shall resolve scheduling conflicts as they occur.
    • Maintain a calendar of day-to-day and long-range projects, actions, activities, and appointments.
    • Coordinate technical support commensurate with assignment and arrange quick-fix response as appropriate, such as computer and telephone equipment.
    • Notify the appropriate information technology repair personnel and arrange for service when problems with information technology equipment or telephones arise and monitor action until resolved.
    • Receive visitors, answers telephone calls, and electronic mail messages and provide assistance or direct to appropriate official as necessary.
    • Conduct mail operations in accordance with AR 600-8-3, Unit Postal Operations and DoD 4525.6-M, Department of Defense Postal Manual; receive incoming mail and directives and sort based on type of action and suspense date.
    • Consolidate supply requests from subordinate units and submit to appropriate unit or organizational personnel in order to ensure adequate supplies are maintained within the office.
    • Sort, disseminate and track incoming correspondence, staff actions, events, and activities.
    • Establish and maintain unit reports and files, to include electronic files, for ease of retrieval.
    • Maintain suspense files and make contact with unit or organization staff elements prior to due date including requests for interim responses.
    • Prepare travel orders in accordance with unit or organization standard operating procedures and make travel arrangements in accordance with the Army DTS for Government personnel and authorized guests; prepare itineraries and distribute to the traveler(s).
    • Collect, maintain, and report unit or organizational production and resource data.
    • Maintain the Digital Training Management System (DTMS) and Medical Protection System (MEDPROS) for the unit or organization.
    • Receive and enter Bulk Prospect Lead Lists into the appropriate unit or organization database.

     

  • Qualifications

    Qualifications

    REQUIRED:

    •          Minimum one (1) year of experience providing the full range of professional administrative support as above.
    •          Ability to read, write, speak English at a Grade 12 level and have a demonstrated knowledge of Army protocol and office etiquette.
    •          Able to properly apply grammar, spelling, capitalization, punctuation, and terminology commonly used in business office environments to prepare formal correspondence from handwritten drafts or oral instructions.
    •          Knowledge of or capable of learning standard processing procedures and formats, distribution, and retention policies for correspondence and reports produced in accordance with AR 25-50.
    •          Capable of proficiently operating copiers, facsimile machines, word processors, microcomputer, printer, modems, and/or computer terminal using a standard typewriter style keyboard with additional function keys to produce work accurately and efficiently.
    •          Proficient in Microsoft Office Suite to include Microsoft Word, Power Point, Excel, and SharePoint.
    •          Background check with favorable suitability required.

    PREFERRED:

    •          Bachelor’s Degree in a related field
    •          Experience using Digital Training Management System (DTMS) and Medical Protection System (MEDPROS)
