  • Responsibilities

    Job Description

    The Administrative Officer (AO) shall:

    • Type, edit and format documents in accordance with applicable USAREC guidelines
    • Schedule meetings, conference calls and Web-based meetings; the AO shall also resolve scheduling conflicts as they occur and maintain a calendar of day-to-day and long-range projects, actions, activities, and appointments
    • Coordinate technical support to include notifying the appropriate information technology repair personnel and arrange for service when problems with information technology equipment or telephones arise, monitoring status of action until resolved
    • Receive visitors, answer telephone calls and e-mail messages and provide assistance or direct to appropriate official as necessary
    • Conduct mail operations in accordance with Unit Postal Operations and DOD Postal Manual to include receiving incoming mail and directives and sorting based on type of action and suspense date
    • Sort, disseminate and track incoming correspondence, staff actions, events, and activities
    • Consolidate and track supply requests from subordinate units ensuring that adequate postal and office supplies are available at all times    
    • Establish and maintain unit reports and files, including suspense files, production and resource data and Medical Protection System (MEDPROS) for ease of retrieval
    • Prepare travel orders in accordance with standard operating procedures and make travel arrangements in accordance with the Joint Travel Regulations (JTR) using the Army Defense Travel System (DTS) and prepare/distribute itineraries for authorized personnel
    • Receive Bulk Prospect Lead Lists and enter this data into the designated database
    • Maintain the Digital Training Management System (DTMS) for the unit or organization

                 

  • Qualifications

    Qualifications

    The successful candidate shall meet the following requirements: 

    • Minimum of four years progressive experience with similar administrative tasks
    • Demonstrated knowledge of Army protocol and office etiquette
    • Capability of operating standard office equipment to include computer, copier and fax machine
    • Proficient in Microsoft Word, Power Point, Excel and SharePoint
    • Demonstrated knowledge of proper grammar, spelling, capitalization, punctuation and common business terminology
    • Must have a High School diploma or GED equivalent.
