    Job Description

    POSITION OVERVIEW

    The Sales Assistant – Finance Support will meet all the following requirements and responsibilities. The Assistant will handle the appropriate processing and follow up of sales orders, update of e-commerce postings, routing of orders to the warehouse and assist the Sales Managers and Sales Director in additional day to day operations in the office.

    The individual in this role is responsible for answering product inquiries, taking customer orders, coordinating delivery with the warehouse, and coordinating with internal company departments. Customers include distributors, dealers, contractors, retailers, e-commerce platforms and local technicians. This position is often combined with marketing and customer service initiatives.

     

    DUTIES AND RESPONSIBILITIES

    · Sales order processing for shipment and invoicing; FBA, assigned accounts and backup

    · Corresponding and/or following up with customers via phone or email

    · Assistance with customer calls as necessary

    · Updating, coordinating, and maintaining delivery/shipment schedules for customers

    · Management of LTL shipments, freight claims LTL shipment support

    · Documenting sales as per company policies and procedures

    · Resolving sales order issues efficiently and in a friendly manner

    · Effectively managing sales orders while keeping in contact with appropriate staff to ensure inventory and order accuracy

    · Inter-office communications with different teams and/or departments daily as needed

    · Providing support for the sales and marketing team

    · Support of financial functions as assigned by management

    · Processing of statements to customers and support in payments

    · Additional office administrative functions and duties as may be assigned from time to time

     

    QUALIFICATIONS

    · Excellent attention to detail and organizational skills

    · Good time management skills

    · Professionalism, enthusiasm, and a sense of responsibility

    · Customer service proficiency

    · A team-oriented personality and/or ability to work with a team

    · Highly proficient with MS Office (expert level; Excel, PowerPoint & Publisher) and internet usage experience

    · Experience with QuickBooks highly desirable

    · Knowledge of general sales processes from initial order to shipment

    · Ability to communicate with customers, dealers, and distributors

    · Experience working with e-commerce platforms such as; Amazon, Jet, E-Bay, Home Depot, Walmart, Woo Commerce, Commerce Hub, True Commerce, etc. very helpful

     

    REQUIRED EXPERIENCE AND REQUIREMENTS

    · Sales or Sales Administration/Support: 1 – 3 years

    · Business proficiency in English, written and spoken

    · High School Diploma or equivalent

    · Legally eligible to work in the U.S.

     

    WORKING CONDITIONS

    Must be able to work in an office environment and interact with co-workers to exchange information relating to products, orders, invoices, customers, and partners. May be required to work additional shifts including evening and weekends.

     

    PHYSICAL REQUIREMENTS

    Must be able to remain in a stationary position 50% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with customers and partners who have inquiries about products, orders, and invoices. Must be able to exchange accurate information in these situations. Occasionally moves files and small equipment weighing up to 25 pounds around the office or warehouse environment as needed.
