    We are seeking a highly organized AP / Purchasing Coordinator to support our accounting and operations teams. This role is ideal for someone who is detail-oriented, proactive, and interested in growing within a construction or professional services environment.

    Position Overview

    The AP / Purchasing Coordinator will support accounts payable and purchasing activities by preparing purchase orders, tracking deliveries, organizing receipts, and assisting with invoice processing. Construction experience is not required, but a strong attention to detail and willingness to learn is essential.

    Key Responsibilities

    Prepare and issue purchase orders for materials, rentals, trucking, and services

    Track deliveries, tickets, and receipts from vendors and field teams

    Organize documentation to support invoice approval and payment

    Assist with three-way matching (purchase order, receipt, vendor invoice)

    Communicate with vendors regarding invoices, documentation, and discrepancies

    Upload and organize documents in company systems (e.g., Procore, shared drives)

    Support the accounting team with accounts payable processing

    Maintain organized records for auditing and compliance purposes

    Qualifications

    Strong organizational and follow-up skills

    Comfortable working with invoices, receipts, and documentation

    Basic computer proficiency (Excel, email, document management)

    Ability to communicate clearly and professionally

    Willingness to learn new systems and processes

    Preferred (but not required):

    Construction, accounting, or purchasing experience

    Familiarity with QuickBooks or Procore

    Spanish bilingual

    Schedule & Location

    Full-time, Monday–Friday

    Office based in Chicago (hybrid flexibility may be considered after training)
