    We are seeking a highly motivated, organized, and patient-focused Appointment Coordinator to become the face and voice of our growing dental practice.

    As the first person our patients speak with and often the first person they meet when they arrive, you play a critical role in creating an exceptional patient experience. This position is ideal for someone who enjoys building relationships, staying organized, solving scheduling challenges, and helping patients feel welcomed and cared for.

    What You'll Do

    Patient Experience & Scheduling

    Welcome patients with warmth, professionalism, and genuine care

    Answer incoming calls and assist patients with scheduling needs

    Coordinate doctor and hygiene schedules to maximize efficiency and patient satisfaction

    Fill cancellations and openings using effective communication and scheduling strategies

    Maintain a continuing care system that encourages patients to stay on track with their dental health

    Confirm appointments and reinforce patient commitment to scheduled visits

    Help patients understand and navigate appointment options while maintaining schedule integrity

    Coordinate scheduling needs between clinical and administrative team members

    Administrative Responsibilities

    Maintain accurate patient records and scheduling information

    Utilize practice management software to support daily operations

    Prepare key scheduling and patient information for daily morning huddles

    Monitor scheduling metrics, cancellations, no-shows, and continuing care compliance

    Assist with collection of patient payments according to established financial arrangements

    Support practice goals related to production, efficiency, and patient retention

    Help with Insurance claim filing and processing

    Marketing & Relationship Building

    Build lasting relationships with patients through exceptional customer service

    Share the practice philosophy and values with prospective patients

    Encourage referrals and online reviews from satisfied patients

    Participate in practice marketing and social media initiatives

    Help create memorable experiences that strengthen patient loyalty

    Teamwork & Growth

    Participate actively in team meetings and training opportunities

    Collaborate closely with clinical and administrative team members

    Cross-train with financial coordination responsibilities when needed

    Contribute ideas and solutions that support practice growth and patient satisfaction

    Embrace a culture of continuous learning and professional development

    What We Are Looking For

    Required Skills & Qualifications

    Exceptional verbal and interpersonal communication skills (Fully Bilingual English and Spanish)

    Strong customer service and relationship-building abilities

    Excellent organizational and time-management skills

    Strong attention to detail

    Ability to multitask in a fast-paced environment

    Computer proficiency and ability to learn practice management software (Eagle-Soft, Dental Intelligence, Weave)

    Positive attitude and team-oriented mindset

    Self-directed and dependable work ethic

    Preferred Experience – 1 year +

    Dental front office experience

    Dental scheduling experience

    Experience with practice management software

    Customer service or patient coordination experience

    Knowledge of dental terminology and treatment processes
