    We are seeking a skilled, detail-oriented, and organized Payroll Specialist / Project Coordinator to join our team. The position will play a pivotal role in ensuring the successful execution of construction projects by providing administrative support, coordinating project activities, and maintaining clear communication among stakeholders, and will be responsible for accurately processing weekly payroll, and providing exceptional support to our employees.

    Responsibilities

    • Manage accounts receivable transactions by using accounting software and other programs.
    • Enter, update, and maintain customer contracts in ERP.
    • Coordinate project schedules, resources, and activities to ensure timely completion within budget estimates and quality standards.
    • Serve as a liaison between accounting and operations to facilitate smooth project workflow.
    • Track project progress, milestones, and deliverables, and report updates to project managers and stakeholders.
    • Assist in the preparation of project budgets and monitor expenses to ensure adherence to financial goals.
    • Maintain accurate and up-to-date project files, records, and databases including proposals, contracts, estimates, change orders, lien waivers, etc.
    • Process weekly payroll for employees including accuracy of project/job coding, calculating wages, deductions, and overtime accurately.
    • Collaborate with HR and finance departments to ensure seamless integration of payroll data.
    • Handle employee inquiries regarding payroll-related matters with professionalism and efficiency.
    • Reconcile payroll accounts and resolve any discrepancies.
    • Generate payroll reports for management as needed.
    • 401k reporting.
    • Maintain confidentiality of sensitive payroll information.
    • Additional duties as assigned.

    Requirements

    • Bachelor's degree in Accounting, Finance, Business Administration, or a related field or equivalent job experience.
    • Proven experience working as a payroll specialist, preferably in the construction industry.
    • Proven experience working in a project coordination or administrative role within the construction industry.
    • Strong organizational skills and attention to detail.
    • In-depth knowledge of payroll processes, regulations, and tax laws.
    • Excellent communication and interpersonal skills.
    • Proficiency in payroll software (e.g., ADP) and MS Office, especially Excel.
    • Strong analytical and problem-solving skills.
    • Proficiency in project management software (e.g., Procore).
    • Ability to prioritize tasks, multitask and meet deadlines in a fast-paced environment.
    • Excellent attention to detail and accuracy.
    • Knowledge of construction processes, terminology, and best practices.
    • Familiarity with construction contracts, specifications, and drawings.
    • Exceptional communication and interpersonal skills.
    • Ability to work effectively both independently and as part of a team.
    • Ability to learn different software systems and interfaces between transactions systems.
    • Familiarity with ERP systems are preferred.
    • Valid driver's license
