Job Description
OFFICE ADMINISTRATOR: needed for American Manufacturing Company in Pennsauken, New Jersey. You will be organizing and performing administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office Administrator responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our Managers and staff. Previous experience as an administrative assistant and/or senior office assistant or Office Administrator would be an advantage. A successful Office Administrator should also have experience with a variety of office software (email tools, spreadsheets and databases, quickbooks) and be able to accurately handle administrative duties. Ultimately, the Office administrator should be able to ensure the smooth running of the front office and help to improve company procedures and day-to-day operation.
RESPONSIBILITIES
- Serve as the point person for the office duties including:
- Answering Phones
- Mailing
- Supplies
- Invoicing Input
- Billing/Payables input
- Accounts Receivable input
- Errands
- Supply Ordering/Shopping
- Schedule meetings and appointments
- Keep front office organize and order stationery and equipment
- Maintain the office condition and report necessary repair
- Organize office operations and procedures
- Coordinate with IT Vendor on all office equipment and software
- Ensure that all Sales are invoiced on time
- Office Accounting Duties - Quick Books is required
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Plan in-house or off-site activities, like parties and celebrations
REQUIREMENTS
- Proven experience as an Office Administrator or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in Quickbooks and MS Office (MS Excel and MS Outlook, in particular QUICKBOOKS)
- Hands on experience with office machines (e.g. fax machines, copiers and printers)
- Familiarity with email scheduling tools
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- Excellent customer service and employee service skills
- High School degree; additional qualification as an Administrative assistant or Administrative Assistant will be a plus
