    JOB TITLE: Event Planner

    REPORTING STRUCTURE: Reports to the Executive Director

    JOB PURPOSE: Founded in 2003, the Asian Real Estate Association of America (AREAA) is a nonprofit professional trade organization dedicated to promoting sustainable homeownership opportunities in Asian American communities by creating a powerful national voice for housing and real estate professionals that serve this dynamic market.

    This position works closely with the Executive Director to ensure successful planning for the implementation of national programs that align with fulfilling AREAA’s mission. Recruits sponsors for events and manages event sponsor relations, expectations and deliverables.

    ESSENTIAL JOB DUTIES:

    Responsibilities include, but are not limited to:

    · Perform site visits and analysis of future AREAA annual convention and national events and locations; included development of comprehensive RFP for venues and contract negotiation;

    · Onsite management of sponsors/exhibitors.

    · Management and oversight of catering (f & b) requirements and AV logistics for all meetings;

    · Oversight of pre-registration and onsite registration for Annual Convention and other national events.

    · Assists in the development and analysis of Annual Convention marketing strategy; Oversees creation and layout of promotional materials including but not limited to marketing, design, and development of annual convention website, preliminary and final programs, etc.

    · Works with Executive Director to develop and manage budgets for national program

    · Work with Program Chair(s) and Committee and assist with development of convention program as necessary.

    · Other duties as assigned.

    JOB QUALIFICATIONS:

    This professional position requires a high level of skill and competency, the ability to work with limited supervision, and to make judgment calls. The best candidate will be detail oriented, capable of meeting simultaneous and frequent deadlines. Excellent interpersonal skills and an aptitude for working with and relating to a wide variety of personalities are critical. Must have a professional demeanor, a strong work ethic, and the ability to establish rapport with members and other stakeholders. The ideal candidate will be a team player and enjoy working in a small office where collaboration is key. Additional work beyond conventional office hours is required for events (40 hours/week is minimum).

    A Bachelor’s Degree or a minimum of five years job experience in a closely related capacity.

    Successful track record of event management

    Excellent oral and written communication skills, including strong presentation skills.

    Extensive knowledge of Microsoft Office applications, particularly Word, PowerPoint, Excel.

    Experience with database programs such as ACT, Salesforce, Constant Contact, and EventBrite.

    Experience with event management programs such as Cvent or Etouches

    Excellent negotiation skills

    Experience with Word Press or other website platforms highly beneficial.

    SALARY RANGE:

    Commensurate with experience
