    • Are you a real “go-getter” with a sunny disposition whose voice smiles through the phone? • Do your strengths include high attention to detail and are you a good proofreader? • Do you easily build rapport with people- in person and over the telephone?We are looking to hire a full-time Administrative Assistant/Client Concierge to work in The Villages office, though you may have to float from time to time to our other offices to assist with coverage.Your primary responsibility is to greet and welcome new and prospective clients either by telephone, Zoom or in-person with warmth and care, and providing them with excellent service and timely follow-up. This role will maintain the reception area, proofread documents, and assist all staff with whatever administrative needs pop up and however needed.You will also perform what we call triage or client intake, asking very specific questions of callers while documenting pertinent information simultaneously into our system, and then if they are a fit for the service we provide, you will schedule their initial consultation.You will be on the telephone quite a bit, especially after a seminar to assist with scheduling initial consultation meetings. Once people make appointments, it will also be your job to make sure they keep them.Calendar management is critical in this role. Must have the ability to think through travel time, preparation time, and meeting times to help make the team’s lives a bit easier.This role is for a doer with tremendous initiative, follow up, organizational, proofreading, and people skills and for someone who is a team player and thrives in a fast-paced environment, and is able to shift gears and priorities.You must be a friend and proficient user of technology as we use multiple platforms to keep us organized and efficient.At our firm, we don’t say “that’s not my job.” You are a self-starter who doesn’t sit and wait to be told what to do next. (That doesn’t work in our firm as timely and top-notch client service is a #1 priority.)The successful candidate will also have a knack for: We are Absolute Law Group, growing elder law and estate planning firm, with locations in The Villages, Ocala, and Citrus County. • Maintaining order • Readjusting calendars and schedules • Making sure projects and all details are completed • Meeting deadlines • Trying alternatives • Adjusting to changes Responsibilities: To summarize, tasks include, but are not limited to: • Conducting new client intake or triage • Making and confirming client appointments • Maintaining accurate and timely client and firm records using Practice Panther and other firm databases • Preparing and mailing letters; editing documents • Facilitating court filing documents and tracking their receipt • Helping prepare for client meetings • Helping with whatever other administrative support is needed for ANY team member Qualifications: • A minimum of a High School Diploma • 3 years of related customer service and/or administrative support experience required • Must be able to speak with the client while simultaneously entering information into firm databases • Proficiency in MS Office (Word, Excel, Outlook, and PowerPoint is required) • You must also be willing and able to learn other software and client management programs as the need arises, in order to make the office as efficient as possible • You also show up to work on time, prepared and ready to tackle each day with a positive attitude • You embrace technology and are not afraid of it • Be able to set up Zoom meetings and assist clients with Zoom meeting preparation • You proactively manage your job responsibilities and tasks, not waiting for someone to tell you what to do • You have excellent time management skills • You value ongoing and timely client communication • You treat clients and co-workers with respectIf you think you have what it takes, please submit your resume, pay requirements and a cover letter that clearly conveys WHY you are "The One" this firm should hire.Thanks for reading!
