    Summary: The Account Executive works closely with the Director of Operations to service assigned accounts based on the Scope of Services agreed to by BRMS. Is responsible for communicating client expectations to BRMS departments (IT, Finance, Accounting, HR etc.). Reviews and monitors BRMS progress toward achieving compliance with Scope of Service.

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    • Maintain a high level of customer service in all aspects of the position. Available to the Trustees “at all times”.

    • Ensure BRMS departments are complying with Scope of Services

    o Requires understanding of Scope of Service

    o Requires understanding of Departmental functions

    • Ensure BRMS implements Trust Policies and Procedures

    • Ensure Trust Compliance with ERISA/IRS/DOL to include HIPAA

    o Review Compliance Calendar with responsible BRMS departments

    • Ensure adequate levels of insurance are in place for the Trust

    • Attend Benefit Fairs, Membership Meeting, New Hire meetings as requested by Trustees

    • Attend, Lead and record proper minutes at quarterly Board meetings (may include Special Called Meetings)

    • Ensure Agenda and Packet for each meeting are professional in appearance and accurately present a full accounting of all transactions and other information required by Trustees

    o Set Agenda based on historical and prior meetings

    o Review Minutes

    o Review reports and financial data (both BRMS and other professionals)

    o Review Administrator’s Report

    § Vendor Contracts

    § Signatories

    § Insurance

    § Compliance

    § Other Items as required by Trustees

    • Review Invoices and transmit to Finance to process. Must consider:

    o Contract Compliance

    o Reasonableness

    o Accuracy

    • Ensure Trustee actions are documented and implemented

    • Ensure reconciliation and accounting functions are in place and in line with Trust policies

    • Ensure we have documents necessary for accurate collection of Employer Contributions

    o Dues Deadline

    o Collection Policy

    o Subscriber Agreements

    o MOA, CBA, PA, etc.

    • Ensure Financial Audits are performed as required

    • Manage Vendor Contracts

    o Review for compliance with Trustee approval

    o Manage contract flow

    § Receive; review; signature; transmittal; proper filing

    • Open Enrollment (H&W)

    o Vendor Communication

    o Mailing/posting

    • Participant Distributions (Pension/Annuity)

    o Obtain approvals

    o Resolve issues

    • Work with Legal Counsel and Consultants to develop recommendations to improve, modify and update benefits

    • Assist Director of Hawaii Operations in addressing the needs of the Trustees, Plan Professionals

    • Assist with action items from Director of Operations

    • Process written replies on own initiative or from dictation or notes

    • Research, draft or abstract reports

    Knowledge, Skills, & Abilities:

    Computer literate, with knowledge of and experience working with Microsoft Office Suite, Internet, and Adobe Acrobat

    • Exhibit professionalism in appearance and attitude

    • Ability to communicate effectively, both verbally and in writing to all staff members and clients

    • Must be attentive to detail, organized and able to multi-task and finish projects on time

    • Must have a friendly outgoing personality and excellent customer service skills, both in person and on the phone.

    • Must be able to perform additional functions incidental to office activities and procedures

    • Ability to recognize, analyze and solve problems within the scope of the Account Executive

    • Knowledge of modern business etiquette and ethics

    • Ability to work effectively in an independent and team environment

    • General Human Resources knowledge of various employment laws and practices

    • Must maintain confidentiality

    Knowledge of Union collective bargaining agreements, labor laws, and union procedures, a plus and preferred.

    Supervisory Responsibilities: This job has no supervisory responsibilities.

    Education and/or Experience: High school or G.E.D. equivalent; and one to two years of increasingly responsible supervisory experience in a corporate environment and/or high-volume production/transaction environment; or equivalent combination of education and experience. 0-3 years’ experience as an Account Executive or similar position in trust fund industry.

    Language Skills: Ability to read, speak, and write effectively in English. Ability to interpret documents such as safety rules, memos, letters, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before customers or employees of organization. Ability to effectively address or resolve customer service issues within guidelines of the position.

    Mathematical Skills: Ability to add and subtract, multiply and divide with 10's and 100's.

    Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    Certificates, Licenses, Registrations: Valid, class C license in state working with no adverse driving record.
