Position Overview
The Accounting Administrative Assistant is a vital member of the Client Advisory Services (CAS) team, responsible for supporting our accounting professionals in delivering timely and accurate financial services. This role involves managing back-end administrative processes, maintaining client records, ensuring task flow in project management systems, and assisting with client communications and scheduling.

Key Responsibilities
Provide administrative support to the CAS team, including the Accounting Manager and Senior Associates
Maintain accurate and organized client records in our practice management system (e.g., TaxDome, QuickBooks Online, Gusto)
Track monthly deliverables, tasks, and deadlines using our workflow/project management tools
Schedule and coordinate recurring client meetings and internal reviews
Assist with onboarding new CAS clients by collecting documents and setting up profiles
Prepare engagement letters, proposals, and other client-facing documents
Monitor shared email inboxes and route requests to the appropriate team members
Handle general administrative tasks such as file management, scanning, data entry, and form preparation
Coordinate with internal departments (e.g., Tax, Legal, Sales) to support cross-functional operations
Support payroll administration, time tracking, and vendor record maintenance, as needed
Qualifications
Associate’s degree or higher in Business Administration, Accounting, or a related field (preferred)
1–3 years of experience in an administrative or accounting support role
Familiarity with cloud-based accounting and practice management systems (QuickBooks Online, Gusto, TaxDome, etc.)
Proficiency in Microsoft Office Suite, especially Excel and Outlook
Strong organizational skills and attention to detail
Ability to prioritize tasks and manage multiple deadlines simultaneously
Excellent verbal and written communication skills
Professional, dependable, and client-service oriented
Willingness to learn and grow within a supportive accounting environment
