We’re looking for an Accounting Assistant who brings strong organization, attention to detail, and reliability to support both administrative operations and accounting workflows across multiple clients. This role plays an important part in helping the team stay efficient, accurate, and responsive. Responsibilities: • Monitor and manage the administrative inbox, filtering messages, routing communications to the appropriate team members, and responding to new client inquiries • Support engagement letters, client communications, and annual administrative updates, including pricing adjustments and seasonal outreach • Maintain organized client records across Google Drive, Dropbox, Financial Cents, and related systems, including periodic cleanup and structure updates • Monitor client and internal sales pipeline, respond to new client inquiries related to potential services, and forward relevant communications to the appropriate team member • Support the annual 1099 process using Track1099, including monitoring W-9 submissions, coordinating with accountants on missing documentation, communicating with vendors as needed, and distributing finalized forms • Assist accountants with month-end support tasks such as retrieving statements, posting bank feed activity in QuickBooks Online, supporting bank and payroll reconciliations, and maintaining accurate client records • Support accounting cleanup projects, including organizing accounts, merging duplicate records, setting bank rules, and assisting with historical trust posting and reconciliation preparation • Help maintain workflow tracking and documentation within Financial Cents and Xenett, and assist with updates to internal procedures, charts, and process references • Support annual system updates, including yearly Dropbox folder setup, Google Drive audits, QuickBooks Online updates, Financial Cents updates, and internal file organization projects • Assist with internal administrative initiatives such as engagement documentation support, client communications, seasonal outreach (including holiday messages), and coordination of annual outreach activities • Design annual gifts or other organizational items for the business • Perform periodic cleanups and reorganization of Google Drive, Dropbox, and Financial Cents Qualifications: • Associate’s or Bachelor’s degree in Accounting, Business, or related field preferred • 1+ year of bookkeeping, accounting support, or administrative experience in an accounting environment preferred • Strong organizational skills and attention to detail, with the ability to follow structured processes accurately • Ability to manage multiple tasks and competing priorities while supporting a fast-moving remote team • Comfortable working independently in a structured remote environment • Clear and professional written communication skills • Ability to follow documented processes while adapting as workflows evolve Bonus Points For • Experience with Track1099 • Familiarity with Financial Cents or Xenett • Familiarity with QuickBooks Online • Experience supporting multiple clients or projects simultaneously • Remote accounting or bookkeeping experience • A genuine interest in growing accounting skills over time Software Used in This Role • QuickBooks Online • Financial Cents • Xenett • Google Drive • Dropbox • Track1099 Compensation: $22 hourly
