    Job Title: Accounting Assistant Location: Miami, FL 33142 (On-site) Schedule: Monday – Saturday, 8:00 AM – 6:00 PM

    About the Role

    We are seeking a highly organized and detail-oriented Accounting Assistant to support our daily financial operations. This position plays a critical role in managing payments, purchase orders, inventory reconciliation, and collections. The ideal candidate has a strong understanding of various payment systems and point-of-sale (POS) platforms and can effectively collaborate across departments to maintain financial accuracy and operational efficiency.

    Key Responsibilities

    Payment & Transaction Processing

    Process and record payments via cash, credit cards, Zelle, ACH, wire transfers, and checks

    Ensure accurate, timely entries in accounting systems

    POS & Sales Reconciliation

    Maintain and reconcile point-of-sale (POS) data with accounting records

    Investigate and resolve sales or payment discrepancies

    Purchase & Sales Orders

    Generate and process purchase and sales orders

    Coordinate with vendors and suppliers for timely deliveries

    Inventory Oversight

    Track inventory movements and maintain accurate records

    Reconcile physical counts with system data and flag variances

    Returns & Refunds

    Manage return orders and process refunds or exchanges per policy

    Collections Support

    Follow up on overdue invoices through calls and emails

    Maintain detailed records of collection efforts and communication

    Financial Reporting & Month-End Support

    Assist with preparation of sales, expense, and inventory reports

    Collaborate on monthly and year-end closing activities

    Compliance & Process Integrity

    Ensure adherence to accounting standards and internal policies

    Stay updated on evolving payment and accounting regulations

    Qualifications

    Education

    Associate or Bachelor's degree in Accounting, Finance, or related field preferred

    Certifications such as Bookkeeping, QuickBooks, or similar are a plus

    Experience

    1–2 years in an accounting, bookkeeping, or administrative finance role

    Hands-on experience with POS systems and accounting software (QuickBooks, Sage, etc.)

    Skills & Attributes

    Proficient with payment processing methods (cash, Zelle, ACH, etc.)

    Strong organizational skills and attention to detail

    Ability to multitask in a fast-paced, team-oriented environment

    Excellent communication and interpersonal skills

    Intermediate Excel and Microsoft Office proficiency

    Additional Requirements

    Must be able to commute daily to Miami, FL 33142
